Legal Office Specialist
About the Role
The Eighth Judicial District Court is seeking qualified candidates for the Legal Office Specialist position. This role provides complex, specialized, and confidential legal office support to various District Court offices. It is the specialist level in the legal office support series, requiring a definable body of knowledge and skills that exceed those of lower-level legal office workers and are not typically learned on the job in a brief period.
This examination will establish a Promotional Competitive Eligibility list for current and/or future vacancies over the next three months, with possible extensions. Some positions may be term-limited or grant-funded, with employment contingent on project duration or availability of grant funds. Selected candidates may be required to sign a term employment letter outlining conditions and exact dates. This is a non-union, confidential position excluded from union membership.
Responsibilities
- Performs difficult, complex, technical, and/or specialized confidential legal office support work, exercising independent judgment and applying technical skills.
- Researches and assembles information from various sources to complete forms or prepare reports, including arithmetic and statistical calculations.
- Provides information to the public or County staff, requiring judgment and application of policies, rules, or procedures.
- Organizes, maintains, and purges departmental or court files.
- Types correspondence, reports, forms, and specialized documents from drafts, notes, dictated tapes, or brief instructions using a typewriter or computer.
- Proofreads and checks materials for accuracy, completeness, and compliance with departmental policies.
- Serves as clerk in small claims, traffic, civil, or criminal court, including scheduling attorneys, preparing cases, ensuring paperwork accuracy, preserving evidence, and typing court orders.
- Enters and retrieves data, prepares reports, and accesses statewide confidential computer networks.
- Receives and processes fees, fines, and other monies; prepares receipts and balances funds.
- Contributes to unit efficiency by offering suggestions and participating in work teams.
- Oversees office administrative tasks such as ordering supplies, arranging equipment repairs, and maintaining reference materials.
- Acts as receptionist, screening visitors and telephone calls and directing them appropriately.
- Operates standard office equipment and may train or provide lead direction to other support staff.
Requirements
- Equivalent to graduation from high school and three years of full-time experience in office support involving legal terminology and processing legal documents.
- Professional-level experience and/or education may substitute for up to one year of the required experience.
- Legally authorized to work in the United States (Clark County does not provide H1B visa sponsorship).
- Employment contingent upon successful completion of a background investigation and pre-employment drug testing.
Skills
- Knowledge of departmental or court policies, legal office terminology, forms, documents, and procedures.
- Proficiency in specified computer applications, including word processing, data entry, and report generation.
- Ability to handle money accurately and perform arithmetic calculations.
- Familiarity with office administrative practices, business letter writing, and record-keeping principles.
- Strong command of business English, including spelling, grammar, and punctuation.
- Techniques for dealing with the public, including in confrontational or strained situations.
- Skill in performing complex legal office support work, reading and processing legal documents, and applying legal procedures.
- Ability to maintain accurate legal files, use initiative and independent judgment, and meet critical deadlines.
- Effective teamwork and communication skills.
