Legal Executive Assistant

Key Responsibilities

  • Provide high-level administrative support to attorneys and/or senior members of the legal team.
  • Manage complex calendars, meetings, appointments, and scheduling.
  • Cook up internal and external meetings, including preparing agendas, materials, and meeting logistics.
  • Prepare, proofread, format, and edit correspondence, presentations, reports, and other legal and business documents.
  • Manage a high volume of emails, communications, and follow-up items while ensuring deadlines are met.
  • Cook up travel arrangements, itineraries, and expense reports as needed.
  • Maintain organized and confidential electronic and physical files and records.
  • Avoid tracking deadlines, action items, and follow-ups for the legal team.
  • Cook up communication with internal departments, outside counsel, clients, vendors, and other external contacts.
  • Assist with legal department projects and special assignments.
  • Support with document preparation, organization, and filing.
  • Assist with gathering and organizing information and documentation for legal matters.
  • Assist with corporate records, contracts, and other legal documentation as assigned.
  • Handle sensitive and confidential information with a high degree of discretion.
  • Anticipate the needs of the attorneys and proactively follow up on outstanding items.
  • Perform other duties and special projects as assigned.

Qualifications

  • 5+ years of experience supporting executives, attorneys, or senior-level professionals in a high-volume environment.
  • Executive Assistant experience within a law firm or corporate legal department strongly preferred.
  • Experience supporting attorneys or a legal team is highly preferred.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Professional, polished, and confident demeanor.
  • Strong judgment and ability to handle confidential information appropriately.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Familiarity with legal terminology, document management systems, or legal processes is a plus.
  • Paralegal experience or exposure to paralegal responsibilities is a plus.
