Key Responsibilities
- Provide high-level administrative support to attorneys and/or senior members of the legal team.
- Manage complex calendars, meetings, appointments, and scheduling.
- Cook up internal and external meetings, including preparing agendas, materials, and meeting logistics.
- Prepare, proofread, format, and edit correspondence, presentations, reports, and other legal and business documents.
- Manage a high volume of emails, communications, and follow-up items while ensuring deadlines are met.
- Cook up travel arrangements, itineraries, and expense reports as needed.
- Maintain organized and confidential electronic and physical files and records.
- Avoid tracking deadlines, action items, and follow-ups for the legal team.
- Cook up communication with internal departments, outside counsel, clients, vendors, and other external contacts.
- Assist with legal department projects and special assignments.
- Support with document preparation, organization, and filing.
- Assist with gathering and organizing information and documentation for legal matters.
- Assist with corporate records, contracts, and other legal documentation as assigned.
- Handle sensitive and confidential information with a high degree of discretion.
- Anticipate the needs of the attorneys and proactively follow up on outstanding items.
- Perform other duties and special projects as assigned.
Qualifications
- 5+ years of experience supporting executives, attorneys, or senior-level professionals in a high-volume environment.
- Executive Assistant experience within a law firm or corporate legal department strongly preferred.
- Experience supporting attorneys or a legal team is highly preferred.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional, polished, and confident demeanor.
- Strong judgment and ability to handle confidential information appropriately.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Familiarity with legal terminology, document management systems, or legal processes is a plus.
- Paralegal experience or exposure to paralegal responsibilities is a plus.
