Legal Billing Specialist

About the role

Our client is seeking a Legal Billing Specialist to join its Accounting team. This position is responsible for managing the billing cycle from pre-bill through invoice submission, working closely with attorneys and internal teams to ensure invoices are accurate, timely, and compliant with client billing requirements. The role is based in the Buffalo, NY area and offers a hybrid or fully remote arrangement.

Responsibilities

• Generate, review, and edit client pre-bills for accuracy.
• Coordinate pre-bill distribution and follow up with attorneys for edits, approvals, and timely processing.
• Prepare, review, and submit client invoices according to specific billing requirements.
• Monitor invoice status and resolve missing information, discrepancies, and delays.
• Respond to attorney and client billing questions and requests.
• Review Work in Process (WIP) aging monthly and follow up to ensure matters are billed promptly.
• Partner with billing attorneys, Accounting/Finance, and internal teams to resolve billing issues.
• Maintain accurate and organized billing records and supporting documentation.
• Assist with special projects and additional billing needs as required.

Requirements

• Legal billing experience is required.
• 23+ years of billing experience within a law firm environment preferred.
• Strong understanding of legal billing practices, terminology, billing cycles, and attorney/client billing requirements.
• Experience managing complex or high-volume billing.
• Experience with Aderant preferred; experience with other legal billing/accounting platforms will also be considered.
• Strong analytical skills and exceptional attention to detail.
• Proficiency in Microsoft Excel and Word.
• Excellent written and verbal communication skills.
• Ability to work effectively with attorneys, clients, and colleagues.
• Self-motivated and comfortable working independently in a remote environment while remaining highly collaborative and responsive.
• Strong customer-service mindset with the ability to manage competing priorities and deadlines.

Pay

$50,000–$60,000, negotiable based on legal billing experience.
