Overview
Mid-size Texas law firm has an exciting full-time employment opportunity for a Legal Assistant for its Arlington office. The ideal candidate will have 3-5 years of experience in litigation support. Experience in construction litigation, commercial litigation, insurance defense litigation, or labor and employment law is a plus. This position will provide hands-on administrative support to one Partner in the Arlington office and remotely support two Partners in the Houston office.
Essential Duties & Responsibilities
- Document Preparation & File Management: Prepare, proofread, and format legal documents, including correspondence and pleadings; organize and maintain electronic files and ensure proper document storage and retrieval; organize and manage case files; perform electronic filing of legal documents.
- Attorney & Practice Support: Support attorneys and legal staff across multiple practice areas with day-to-day administrative needs; apply basic knowledge of legal terminology, documents, and court systems to support workflow processes; help attorneys prepare for deadlines, hearings, and arbitrations; maintain calendars in Outlook and Centerbase (the firm's case management system).
- Administrative & Operational Support: Submit conflicts requests to initiate new client and matter files; coordinate and schedule travel, meetings, and appointments; submit expense reimbursements in a timely manner; provide overflow assistance and perform additional administrative and secretarial duties as needed; handle general office management tasks, including supply inventory management and answering calls to the main office line; assist with other projects as needed.
- Communication & Collaboration: Maintain effective communication with attorneys, clients, and staff; work collaboratively across teams while managing competing priorities; demonstrate professionalism, discretion, and confidentiality in all interactions.
Qualifications
- Education: High school diploma or GED required; Bachelor's degree preferred.
- Experience: Minimum 2-5 years of administrative experience in a law firm required.
- Technical Skills: Proficiency in Microsoft Office Suite and Adobe Acrobat Pro; knowledge of legal terminology, legal documents, and court systems.
- Professional Skills: Strong organizational, proofreading, and editing skills with attention to detail and accuracy; excellent communication and interpersonal skills; ability to prioritize tasks and manage multiple demands in a fast-paced environment; ability to work independently and as part of a team; ability to handle confidential information with discretion.
