About the role
This contract position with the potential to become permanent supports municipal legal and administrative operations in a fully onsite environment. The role balances legal support work with strong organizational and public records coordination, contributing to contract tracking, records responses, research, and meeting support while working closely with municipal departments and leadership. Success requires initiative, sound judgment, and the ability to manage multiple priorities with professionalism.
Responsibilities
- Coordinate with internal departments to collect, organize, and track contracts and related documentation for legal review and recordkeeping.
- Prepare accurate meeting notes and formal minutes for legal, administrative, and council-related discussions.
- Manage a steady volume of open records requests, including reviewing materials, organizing responses, and completing necessary redactions.
- Maintain and update databases and filing systems to ensure legal and public records information remains accurate and accessible.
- Draft proclamations and other official documents with careful attention to format, language, and deadlines.
- Attend council meetings twice per month and provide administrative and documentation support, including adjusted evening hours when needed.
- Conduct research using case examples and related legal reference materials to support departmental needs and decision-making.
- Use Microsoft Office applications and AI-enabled tools to prepare documents, organize information, and improve workflow efficiency.
Requirements
- Experience in a legal assistant, paralegal, records coordination, or administrative support role within a legal, government, or public-sector setting.
- Demonstrated ability to prepare meeting minutes and maintain clear, detailed documentation.
- Knowledge of contract handling, document organization, and legal support processes.
- Familiarity with open records requests, document review, and redaction practices.
- Strong legal research skills with the ability to gather and summarize relevant information effectively.
- Proficiency with Microsoft Office Suite and comfort learning or using technology tools such as Copilot.
- Ability to work independently, stay proactive, and manage competing priorities in a fully onsite office environment.
