Responsibilities
- Provides proactive administrative support for the Houston attorneys.
- Provides additional support, when needed, to remote legal team members and in other NRG offices.
- Interfaces with and serves as a liaison for internal and external business partners to ensure calendaring of required meetings and calls. Schedules meetings and events as requested by the lawyers.
- Manages all travel requirements and expense report preparation for the lawyers.
- Aid the lawyers in the performance of duties where possible, such as report preparation and responding to inquiries.
- Aid in billing and outside counsel management.
- Create professional-level presentations and correspondence that could be used in high level executive meetings and communications.
- Handle confidential information with the upmost professionalism and discretion, maintaining adequate knowledge of corporate policy.
- Lead, drive and execute on various team events, socials, offsite meetings, etc.
- Work cross-functionally to ensure communication is efficient and clear between teams.
- Organize, prioritize, and coordinate multiple work activities with demonstrated ability to meet deadlines.
- Accept calls from customers, compile necessary information, and route to appropriate lawyer or NRG agent for resolution or further review.
- Reviews daily mail and routes as appropriate.
- Exhibits superior organizational skills.
- Other duties as assigned.
Qualifications
- High school diploma or GED equivalent.
- College degree or relevant certification a plus.
- Minimum 8 years of providing administrative support in a legal environment.
- Excellent interpersonal, written, and oral communication skills are essential.
- Excellent administrative and office management skills are required.
- Advanced with MS Office Suite (PowerPoint, Excel, Word, Outlook) to create documents, graphic presentations, correspondence, merge documents, spreadsheets, appointment calendars and reports.
- Experienced with SAP, Concur, Legal Tracker, Navan and similar systems.
- E-mail and Internet proficiency.
- Ability to prioritize tasks assigned by multiple sources.
- Strong organizational skills required with the ability to schedule and plan complex arrangements for meetings, presentations, travel, and other special projects.
- Ability to meet deadlines with speed, accuracy, and professionalism.
- Notary Public preferred.
- Overtime is necessary on occasion.
Working Conditions
- Hybrid schedule: 4 days in open office environment at the Houston, Texas office, 1 day remote schedule.
- Frequent use of computers, i.e. typing on keyboards, viewing monitors, etc.
- Minimal domestic travel.
