Confidentiality
Maintains confidentiality in all matters and adheres to relevant regulations, including HIPAA.
Serves as First Point of Contact
Serves as the first point of contact for process servers, inquiries, or issues concerning subpoenas, garnishments, or other legal matters.
Schedules and Coordinates
- Schedules and coordinates appointments, meetings, and events for attorneys and department staff.
Document Preparation
- Prepares, types, and formats legal documents, correspondence, and templates.
Communication and Support
- Responds to communications and emails promptly and professionally.
Expense Reporting
- Prepares and submits expense reports in a timely manner.
External Invoices
- Supports the preparation and submission of external legal and other invoices.
Legal Holds and Contracts
- Creates and maintains legal hold and contract databases and original files.
File Management
- Maintains both paper and electronic files for projects, ensuring organization and accessibility.
Skills and Abilities
- Expertise in various computer software and applications to perform legal related tasks, including word processing, spreadsheet, document management, Sharedpoint, Peoplesoft, electronic mail/calendaring, and database programs;
- Excellent proofreading and grammar skills, including redline and compare functions in Word;
- Demonstrated ability to interact at a professional level with executives, coworkers, and attorneys;
- Effective communication and organizational skills;
- Demonstrate a positive attitude, the ability to work with others, and a desire to learn;
- Self-motivated and quick thinker;
- Understanding of the culture and working environment in AdventHealth;
- Ability to understand the applicable legal landscape, including healthcare regulatory environment;
- Ability to satisfactorily communicate (verbally and written) with all levels of personnel throughout the organization;
- Demonstrable skill in the use of productivity software including Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint);
- Maintain a high level of confidentiality and discretion in all matters, including, but not limited to discretion with discussing personnel/patient related issues.
- Work with Legal Department attorneys to review and process invoices;
- E-Billing, Board Portals;
- Westlaw, LEXIS;
- Lien, UCC Searches, and business filing portal;
- Pacer and other court and administrative agency docketing portals;
- Strong organizational skills;
- Online expense reimbursement system such as Concur;
- Demonstrated ability to adapt to new situations and responsibilities;
- Has 5 years’ experience in the legal field, with 0-3 years’ experience in healthcare-related law or litigation;
- Education Associate

- Work Experience 5+ years in the legal field, either as a legal secretary or legal assistant

Certain positions are subject to Florida Level 2 background screening, including fingerprinting, as required by state law.
