About the Role
Proofreads and organizes all correspondence and documents to ensure correct spelling, punctuation, and grammar. Maintains and updates project management logs and reports for all assigned projects. Serves as the first point of contact for process servers, inquiries, or issues concerning subpoenas, garnishments, or other legal matters. Schedules and coordinates appointments, meetings, and events for attorneys and department staff. Maintains confidentiality in all matters and adheres to relevant regulations, including HIPAA.
Responsibilities
- Prepares, types, and formats legal documents, correspondence, and templates
- Responds to communications and emails promptly and professionally
- Prepares and submits expense reports in a timely manner
- Assists with reviewing, processing, and submitting external legal and other invoices
- Supports the preparation and placement of legal holds, contract administration, review, and follow-up
- Creates and maintains legal hold and contract databases and original files
- Maintains both paper and electronic files for projects, ensuring organization and accessibility
- Other duties as assigned
Qualifications
- Associate degree [Required]
- 5+ years in the legal field, either as a legal secretary or legal assistant [Required]
- 5 years' experience in the legal field, with 0-3 years' experience in healthcare-related law or litigation [Required]
Skills
- Expertise in various computer software and applications to perform legal related tasks, including word processing, spreadsheet, document management, Sharedpoint, Peoplesoft, electronic mail/calendaring, and database programs [Required]
- Excellent proofreading and grammar skills, including redline and compare functions in Word [Required]
- Demonstrated ability to interact at a professional level with executives, coworkers, and attorneys [Required]
- Effective communication and organizational skills [Required]
- Demonstrate a positive attitude, the ability to work with others, and a desire to learn [Required]
- Self-motivated and quick thinker [Required]
- Understanding of the culture and working environment in AdventHealth [Required]
- Ability to understand the applicable legal landscape, including healthcare regulatory environment [Required]
- Ability to satisfactorily communicate (verbally and written) with all levels of personnel throughout the organization [Required]
- Demonstrable skill in the use of productivity software including Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) [Required]
- Must maintain a high level of confidentiality and discretion in all matters, including, but not limited to discretion with discussing personnel/patient related issues [Required]
- Work with Legal Department attorneys to review and process invoices [Required]
- E-Billing, Board Portals [Preferred]
- Westlaw, LEXIS [Preferred]
- Lien, UCC Searches, and business filing portal [Preferred]
- Pacer and other court and administrative agency docketing portals [Preferred]
- Strong organizational skills [Preferred]
- Online expense reimbursement system such as Concur [Preferred]
