Leasing Professional

Responsibilities

  • Greet prospects and qualify by covering all criteria (ask questions; utilize completed guest cards, etc.).
  • Immediately record all telephone and in-person visits on appropriate reports.
  • File guest cards and maintain according to established procedures.
  • Inspect models and available “make ready” units; communicate related service needs to Community Manager.
  • Demonstrate community and apartment/model, applying product knowledge to clients’ needs by communicating features and benefits; close the sale.
  • Process complete prospect applications and request deposits following company procedures and Fair Housing requirements.
  • Update availability report and process applications for approvals (e.g., credit check, rental history).
  • Submit processed applications to the Property Manager for approval and follow up with applicants regarding status.
  • Ensure apartments are ready for move-in on the agreed date.
  • Follow up with prospects that did not close and attempt to close the sale again; refer to sister communities if unable to meet prospect’s needs.
  • Secure new resident signature(s) on appropriate paperwork before move-in and orient new residents to the community.
  • Assist in monitoring renewals, distribute and follow up on renewal notices.
  • Monitor advertising effectiveness and gather information about market competition in the area.
  • Professionally represent the company at all times.

Administrative Duties

  • Accept rental payments and deliver immediately to Assistant Community Manager.
  • Type leases and complete appropriate paperwork; input information accurately and timely into the software system.
  • Review documents with the Property Manager before obtaining signatures.
  • Maintain current resident files and record daily inspections of the community.
  • Distribute all company or community-issued notices.
  • Maintain accurate monthly commission records on leases and renewals for bonus purposes.
  • Assist the management team with various tasks as required and consistently implement community policies.

Resident Retention

  • Receive all telephone calls and in-person visits from residents.
  • Listen to resident requests, concerns, and comments; quickly complete maintenance Service Requests and inform the maintenance team.
  • Answer questions for residents about community, repairs, rent, rules, etc.
  • Follow up on a timely basis if unable to respond to residents immediately.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests weekly.
  • Maintain open communication with Property Manager and Maintenance Supervisor.
  • Contribute to the cleanliness and curb appeal of the community.
  • Assist in planning and attending resident functions as directed by the Community Manager.

Neighborhood Marketing

  • Participate in outreach marketing activities to obtain prospective residents.
  • Advise residents of referral concessions (if permitted).
  • Assist in placing, removing, or updating banners, balloons, bandit signs, flags, etc.
  • Distribute newsletters, pamphlets, flyers, etc.
  • Conduct market surveys and shop competitive communities.

Requirements

  • Fair Housing Certification (willingness to obtain before interacting with prospective residents).
  • Ability to support and contribute to the community team.
  • Strong oral and written communication skills.
  • Proficiency in operating telephone, personal computer/keyboard, Microsoft Office (including Word and MS Outlook), and community software.
  • Positive attitude and ability to maintain professionalism under all circumstances.
  • Willingness to participate in training to comply with new or existing laws.
  • Ability to work a flexible schedule, including evenings and weekends.
  • Two years’ experience in previous relevant customer service.
  • Neat and clean professional appearance throughout the workday and when representing the community.
  • Compliance with expectations as demonstrated in the employee handbook.
  • Ability to diffuse and respond to customer concerns to avoid escalation.
  • Successfully pass a drug and background screening.
