Leasing Coordinator Summary
The Leasing Coordinator serves as the central point of coordination between Business Development Managers (BDMs), Property Managers, Leasing Property Managers, homeowners, and internal operations teams to ensure every new property is brought to market quickly, accurately, and with an exceptional owner experience.
Essential Duties and Responsibilities
Manage the onboarding process for newly signed management agreements from point of sale through listing activation. Ensure listings are completed accurately and published within company service level expectations.
Review agreements and documentation for completeness and identify missing information. Coordinate with Business Development Managers to obtain outstanding documentation or property details.
Serve as the primary point of contact for owners during the pre-listing process. Ensure all listing information is accurate, complete, and compliant before publication.
Act as the liaison between Business Development Managers, Property Managers, Leasing Property Managers, photographers, vendors, and other internal departments. Coordinate property onboarding activities, including walkthroughs, photography, lockbox installation, key collection, and property readiness.
Ensure handoffs between departments occur smoothly and without delays. Escalate issues quickly when timelines or listing readiness are at risk.
Verify property details including pricing, lease terms, utilities, amenities, pet policies, HOA information, and other listing information. Create compelling, accurate, and Fair Housing-compliant listing descriptions.
Review listing photos and media for quality and completeness. Ensure listings accurately represent the property before going live.
Conduct property visits as needed. Coordinate or perform lockbox installation. Collect keys and access devices. Assist with photography or walkthrough coordination. Verify property readiness for marketing.
Maintain accurate records within Salesforce and related systems. Update opportunities and property records throughout the onboarding process. Track listing progress and proactively identify delays. Ensure required documentation is uploaded and organized.
Qualifications
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
Ability to prioritize multiple projects simultaneously.
Exceptional attention to detail.
Comfortable working independently while collaborating across multiple departments.
Proficiency with CRM systems and Microsoft Office or Google Workspace.
Valid driver's license and reliable transportation for local property visits.
Education and/or Experience
A High School Diploma or GED is required. 1–3 years of property management, leasing, project management or related experience is preferred.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear and sit at a desk working on a computer for multiple hours a day. The employee frequently is required to stand for multiple hours a day, climb flights of stairs and drive a vehicle when out in the field. The employee is occasionally required to walk; use hands to handle, or touch objects, tools, or controls when out in the field. Specific vision abilities required by this job include close vision.

Travel Requirements: 5%-25% of travel required in a 50–100-mile radius around assigned area.
