RESPONSIBILITIES
- Prepare Execution Packet Requests – prepare outgoing and process incoming mailings.
- QC/QA of lease or other real property agreement for content and accuracy of such.
- Process signed documents - Ensure proper execution for internal and external parties.
- Preparation of real property agreements and associated documents.
- Filing and maintaining land records and real property agreements.
- Maintain applicable portions of spreadsheet, Archibus and Quorum information.
- Record/file real property agreements in land registries.
- Prepare Check Requests.
- Cook up and organize electronic files for various types of property records and the tracking of the information using the Archibus tool.
- Coordinate, participate and review in the processing of lease payments to landowners.
- Cook up and review the setup of the information into the Archibus tool for new projects.
- Work closely with other departments within the organization including, but not limited to, Facilities, Engineering and Construction, Legal, Accounting and Treasury.
- Perform basic office administration duties as related to Real Estate functions.
- Read and interpret lease agreements (rent terms, escalations, clauses).
- Track critical dates (renewals, expirations, options).
- Abstract key lease terms into databases or systems.
- Rent calculations (base rent, percentage rate, escalations).
- Cam reconciliations.
- Operating expense reconciliations.
- Budget tracking and variance analysis.
- Understanding of NPV, cash flow, and lease economics (especially in corporate real estate).
- Manage lease management systems (e.g., MRI, Yardi, SAP RE, CoStar).
- Ensure accuracy of lease abstracts, payments, and reports.
- Identify discrepancies in billing or lease terms.
- Compliance tracking (insurance, obligations, deadlines).
