About the Role
The Learning Operations Specialist supports effective delivery and continuous improvement of the organization’s learning and development strategy through the management of learning systems, processes, data, and operational workflows. This role coordinates and maintains learning programs—including onboarding, leadership development, compliance training, retail training, and enterprise-wide initiatives—while ensuring learning activities are accurately tracked, documented, and delivered in alignment with organizational goals.
Responsibilities

- Learning Operations & Administration:
- Manage end-to-end scheduling and operational execution of training sessions, cohort programs, coaching sessions, workshops, and other learning initiatives across in-person and virtual environments.
- Coordinate logistics, including invitations, calendar holds, room reservations, catering, technology setup, materials preparation, and event logistics.
- Act as the primary point of contact for training communications, reminders, pre-work assignments, and follow-up materials.
- Work closely with L&D team members (facilitators & analysts) to provide seamless program support across onboarding, retail, and leadership/talent development.
- Maintain the Learning Management System (Workday Learning), including course and program configuration, enrollments, learning paths, assignments, completions, learner records, and data accuracy.
- Content Development:
- Assist in the development, formatting, editing, and maintenance of instructor-led, virtual, digital, and self-paced learning materials.
- Collaborate on budget tracking for L&D initiatives, including supplies, printing, assessments, multimedia learning resources, and vendor engagements.
- Update facilitator guides, participant workbooks, job aids, presentations, communications, and learning resources to ensure content remains current.
- Maintain and organize learning content libraries, facilitator resources, templates, digital assets, and departmental documentation.
- Analytics:
- Maintain accurate learning records and data integrity across learning platforms, ensuring timely tracking of required training, certifications, renewals, and compliance requirements.
- Assist with learning programs and courses within the LMS, including course configuration, enrollments, assignments, completion tracking, learning paths, and learner status updates.
- Identify and implement opportunities to streamline learning processes, improve data accuracy, and enhance the overall learner experience.
- Perform other related duties as assigned.
Requirements
- Knowledge:
- Wellby’s organizational functions and general operating policies and procedures.
- General office practices and procedures, business English, spelling, and punctuation.
- Personal computer use, Microsoft Office Suite, and other software.
- Learning and development principles, adult learning concepts, and training coordination practices.
- Skills:
- Operating computer equipment and general office machines (e.g., copiers, projection equipment, audio/video, Microsoft Teams, Zoom).
- Providing excellent interpersonal and customer service.
- Analyzing problems and developing and implementing solutions.

- Abilities:

Qualifications
- Bachelor’s degree in business management, Human Resources, Learning and Development, or a related field required.
- Minimum two (2) to four (4) years of professional experience in training & development, human resources, project coordination, or a related field.
- An equivalent combination of education and experience may substitute for stated qualifications.
- Experience with content development tools (Articulate 360, Camtasia, etc.) preferred.
- Experience coordinating projects using project management tools (e.g., Asana, Monday.com, Microsoft Planner).
- Bondable for all candidates.
Schedule
This is a full-time, exempt (salaried) role.
Work Environment & Physical Demands
- Frequently required to remain in a stationary position 50% of the time; daily movements include sitting, standing, reaching, and grasping.
- Operate computers and other office equipment; move about the office; attend onsite and offsite meetings.
- Exchange information in person, in writing, and via telephone.
- Some degree of stress from contact with management and other team members.
- Ability to observe details at close range (within a few feet).
- Occasionally lift items weighing up to 25 pounds across the office and load them onto shelves.
- Moderate noise level; typical risks and discomforts associated with an office environment (adequately cooled, heated, lighted, and ventilated).
