Lead Surgical Scheduler - OBGYN

Responsibilities

  • Ensures, organizes, and maintains an active, accurate, and operational surgery schedule by coordinating all surgeries and procedures for assigned providers and service lines.
  • Trains new staff members, stays updated on recent changes in orientation, and demonstrates expertise to tailor education to individual learners' needs.
  • Maintains performance meeting corporate and department standards including productivity, QA, and attendance.
  • Initiates C-9s with the Ohio BWC and monitors approved visits, initiating additional C-9s as necessary.
  • Participates/supports OSUWMC Communication and Marketing initiatives.
  • Manages daily clinic schedules and collaborates with management and clinical teams to optimize patient flow by adjusting schedules, templates, and access team staffing.
  • Provides cross-coverage support for other staff as required.
  • Serves as a point of contact for patients/families needing assistance with bills, questions about various departments within the Medical Center, or navigating the OSUWMC system.
  • Resolves complex customer issues in a timely manner with high satisfaction.
  • Reports to management any signs of discontent from patients/relatives or hospital staff affecting quality customer service.
  • Participates in development and implementation of initiatives to improve operational processes at the work location.
  • Comprehensively orientates, trains, and develops new staff and updates supervisors on their training progress and proficiency levels.
  • Acts as a floor leader by providing feedback on operational standards and policies, serving as the first point of escalation for issues, filling staffing gaps, monitoring front desk supplies, and ordering additional supplies as needed.
  • Hosts morning and/or afternoon huddles with the team to identify potential workflow problems for the day and communicates new workflows across clinical and clerical areas.
  • May be expected to serve as an IHIS Superuser, participate in Superuser meetings, and share information on upgrades and best practices with the team.

Qualifications

  • High School diploma.
  • At least 2 years of experience in a healthcare environment or equivalent combination of education and experience.
  • A minimum of 1 year of employment as a Surgical Scheduler with OSUP or equivalent experience at OSU within the last year.
