About the role
The Lead Provider Services Specialist (PSS) oversees provider compliance activities and ensures adherence to Texas Workforce Commission regulations, Board directives, and organizational policies. This role leads monitoring efforts, technical assistance, and training initiatives to support provider contractual compliance.
Responsibilities
- Maintain complete and audit-ready provider files, ensuring compliance with documentation and contractual requirements.
- Improve attendance recording consistency and reduce technical assistance inquiries through proactive provider education and support.
- Meet or exceed the required number of monitoring visits required by TWC.
- Resolve complex provider contract issues and escalated concerns efficiently, contributing to improved provider relationships and operational continuity.
- Prepare and maintain updated paperwork for all records within the specified time frames.
- Provide guidance and oversight for accurate and timely updates within the State of Texas' child care management system, ensuring data integrity and regulatory compliance.
- Direct and coordinate monitoring activities of providers to ensure adherence to contractual requirements, state regulations, and quality standards, while providing advanced technical assistance and corrective action guidance as needed.
- Conduct follow-up visits on service improvement agreements.
- Serve as a subject matter expert on unit procedures, policies, and operational guidelines, leading team participation in meetings and training to strengthen understanding of the ETWDB system and related initiatives.
- Work closely with Supervisor in developing and implementing plans for large-scale unit projects and tasks.
- Lead the resolution of complex provider contract issues, escalated complaints, and operational concerns by working collaboratively with management and Family Services team members.
- Help ensure all provider files are complete, accurate, and compliant with required documentation standards, including service agreements, tax documentation, deposit forms, and state licensing records.
- Identify, evaluate, and recommend process improvement initiatives, helping to develop and implement strategies that enhance compliance, workflow efficiency, and overall program performance.
- Provide leadership, mentoring, and support to team members, promoting accountability, professional development, and consistent application of policies and procedures.
- Perform other duties as assigned.
Qualifications
- PREFERRED/REQUIRED QUALIFICATIONS
- Education: High School Diploma or Equivalent, minimum of a High School Diploma or Equivalent Required, Associate's Degree, Associate's degree or equivalent from two-year college or technical school preferred or equivalent combination of education and experience.
- Experience: 2-4 years, at least 2 years' work related experience Required.
- Knowledge, Skills and Abilities: Proficiency in Microsoft Word, Excel, and Outlook, Ability to handle escalated situations with critical thinking skills and problem-solving techniques, Ability to manage multiple projects simultaneously, Demonstrated ability to work with customers and vendors, keep detailed records, and enter data accurately and timely into automated databases, Computer Proficiency: Intermediate experience in Microsoft Word, Excel and Outlook, Language Requirements: English (written & verbal), Licenses and Certifications: DL NUMBER - Driver License, Valid and in State, Valid Texas driver's license and Auto Liability Insurance Upon hire Required, Physical Demands: N/A Rarely Occasionally Frequently Constantly, Working Conditions: Extreme cold X, Extreme heat X, Humidity X, Wet X, Noise X, Hazards X, Temperature Change X, Atmospheric Conditions X, Vibration X, Travel Requirements: 40% Travel is required within the Workforce Board Area to contracted Providers and vendors.
