Founded in 1889, Marlborough School is an independent girls college-preparatory school for grades 7 through 12 located in Los Angeles, California. Marlborough is the oldest independent girls’ school in the Southern California region. Responsibilities

  • Lead the planning and execution of all major school events, including academic and ceremonial, admissions, advancement/fundraising and community events.
  • Serve as the primary liaison with various school departments to determine event objectives and requirements.
  • Manage all event logistics, including venue selection (on and off campus), catering, audiovisual, security, transportation, and setup/teardown.
  • Manage eSpace reservations and databases for school events.
  • Create event timelines, budgets, and detailed logistical plans for each event.
  • Conduct post-event analysis by gathering feedback, reviewing financial outcomes, and assessing overall success against established goals.
  • Create comprehensive event reports and maintain detailed records and documentation for future planning.
  • Negotiate and manage contracts with all vendors, including caterers, florists and rental companies.
  • Track all event expenses and reconcile budgets post-event, providing detailed financial reports to the relevant departments.
  • Maintain a list of preferred vendor relationships and continually seek new high-quality partners.
  • Lead and direct cross-functional event committees and volunteer groups, clearly delegating tasks and providing necessary training and supervision.
  • Collaborate with the Communications department on event promotion, branding, and required materials.
  • Aid in departmental administrative tasks and special projects as needed.

Qualifications and Requirements

  • Bachelor of Arts or Science Degree required, or equivalent work experience.
  • Minimum 3-5 years of progressive experience in event planning or related area, demonstrating increased responsibilities and scope of duties.
  • Effective communication (both orally and written), resourceful problem solver, and an ability to handle confidential and sensitive information with discretion and professionalism.
  • Proficiency in Google Suite, Microsoft Office, Adobe, and other software platforms preferred.
  • Must be able to work on-site 5 days/week.
