Event Planning Lead

About the role

The Event Planning Lead supports the Sales and Events teams by coordinating and administering processes that ensure smooth planning and execution of meetings, events, and group business. This role serves as a key point of contact between clients, sales leadership, and hotel departments, supporting the booking lifecycle, preparing and managing event documentation, and facilitating clear internal communication while aligning with Hyatt standards.

Responsibilities

• Supports the booking lifecycle for meetings, events, and group business
• Prepares and manages event documentation, including contracts, proposals, correspondence, and meeting documentation
• Accurately enters and tracks group and event details in Envision Sales systems
• Coordinates details with hotel operating departments such as Banquets, Culinary, Front Office, AV, and Housekeeping
• Works with Association, Government, Corporate, and Social clients, among others
• Maintains organized files, calendars, and records to ensure all information is accurate, timely, and compliant with hotel standards
• Manages client and internal inquiries, assists with site inspections and pre-con meetings, supports sales and events reporting

Qualifications

• Previous experience in hotel sales, meetings, events, or hospitality coordination preferred
• Strong organizational skills with high attention to detail
• Excellent written and verbal communication skills
• Ability to manage multiple priorities in a fast-paced environment
• Proficiency in Microsoft Office; experience with Envision Sales or similar systems preferred
• Strong customer service orientation aligned with Hyatt values
