The Opportunity

This role is ideal for someone who enjoys working in a fast-paced, project-based environment and wants to deepen their experience in construction or landscape operations. You will gain visibility across multiple projects and have the opportunity to grow into broader operations, project coordination, or management responsibilities over time.

What You'll Do

  • Organize, maintain, and track project documentation, including contracts, permits, compliance materials, and related correspondence for multiple landscape construction projects.
  • Serve as a communication bridge between field crews, office staff, vendors, subcontractors, and clients to ensure accurate and timely exchange of information.
  • Coordinate purchasing activities by ordering, receiving, and tracking materials, equipment, and inventory required for project execution.
  • Aid in invoice processing, including matching invoices to purchase orders and maintaining accurate records within project tracking or accounting systems.
  • Manage subcontractor onboarding and paperwork, including agreements, insurance verification, and compliance documentation.
  • Respond promptly and professionally to phone calls and email inquiries from internal teams and external partners.
  • Provide general administrative and operational support as needed to help projects stay on schedule and within budget.

What Success Looks Like

  • Within 36 months, project documentation, contracts, permits, and compliance records are consistently organized, up to date, and easy for the team to access.
  • Purchasing, receiving, and inventory tracking processes run smoothly, reducing material delays and keeping field teams properly supplied.
  • Invoices, purchase orders, and change documentation are processed accurately and on time, supporting clean financial tracking for each project.
  • Field, office, vendor, subcontractor, and client communications are clear and timely, helping to prevent avoidable issues and keeping projects on track.

What We're Looking For

  • Experience in an administrative, operations, or project coordination role, ideally within construction, trades, or service-based businesses.
  • Strong written and verbal communication skills, with the ability to collaborate across teams and with external partners.
  • Comfort using office productivity tools (such as Google Workspace or Microsoft Office), email platforms, and digital document management systems.
  • Excellent organizational and time management skills, with proven ability to prioritize tasks in a fast-paced, high-volume environment.
  • High attention to detail and accuracy in documentation, purchasing, and financial tracking.
  • Experience with project management, ERP, accounting, or industry-specific software is a plus.
  • Fluency in English; additional language skills are welcomed and valued.
