Essential Job Functions
- Affords assistance in processing returned royalty checks and routing undeliverable Division Orders
- Performs basic data entry of owner names, addresses, and account changes into Land System
- Identifies key ownership documents such as leases, W-9s, and Division Orders
- Safeguards scanning, filing, and archiving of documents in the retention system
- Prepares and mails basic form letters using standard templates
- Monitors received documents and updates project logs under supervision
- Engages in training to develop foundational knowledge of land administration and ownership principles
- Escalates unclear or complex ownership issues to Admin II or Coordinator II
- Organizes files and storage boxes for audits or offsite storage
- Maintains attention to detail when entering information or preparing correspondence
Minimum Qualifications
- High school diploma or equivalent
- One year in administrative or customer service support
- Basic proficiency with Microsoft Office; familiarity with data entry and document handling
- Strong organizational habits and attention to detail; eagerness to learn energy workflows
- Ability to work in a fast-paced and fluid environment; flexible with the demands of a growing company
- Strong written and verbal communication skills, with a collaborative approach to teamwork
Physical Requirements and Working Conditions
- Mobility to work in a standard office setting and to use standard office equipment, including a computer
- Stamina to maintain attention to detail despite interruptions
- Strength to lift and carry files weighing up to 10 pounds
- Vision to read printed materials and a computer screen
- Hearing and speech to communicate in person and over the telephone
