Responsibilities

• Manage job files from first notice of loss through final closeout
• Monitor job status, work-in-progress, and audit compliance across an active caseload
• Build preliminary estimates and prepare accurate job file documentation
• Serve as the go-to liaison between customers, insurance adjusters, and our field technicians
• Keep communication moving — calls returned, emails answered, questions resolved before they become problems
• Prepare job file reports and support the audit process so every file is clean and closeout-ready
• Draft correspondence, maintain filing systems, and support day-to-day office operations

Qualifications

• 1–3 years of experience in this or a similar role preferred
• Previous experience in office administration, customer service, insurance, or project coordination is a plus
• Outstanding organizational skills and an eye for detail — you catch what others miss
• Strong written and verbal communication; comfortable on the phone with customers and adjusters
• Able to juggle multiple job files at once without losing track of a single one
• A calm, professional presence when situations get stressful — because for our customers, this is often the worst day of their year
• Proficiency in Microsoft Office; comfort learning new software systems
• A team-first attitude and willingness to jump in wherever the office needs support
