About the Opportunity
The Executive Assistant will step into a highly visible, trusted, and operationally defining role, serving as the strategic right hand and primary operational partner to a prominent solo executive coach. This position takes complete administrative ownership of the practice, clearing the executive's plate of routine friction to ensure full focus remains on high-leverage client interactions. Far from a traditional support role, this position acts as a modern systems architect, charged with auditing, documenting, and rebuilding the firm's core operational infrastructure with a cutting-edge, AI-first philosophy—driving continuous workflow automation, establishing ironclad daily accountability, and elevating the overall premium client experience.
Responsibilities
- Take proactive, end-to-end command of the executive coach's primary inbox and complex calendar scheduling architecture, filtering noise and strategically prioritizing key engagements
- Act as the primary professional liaison and gatekeeper, coordinating seamlessly with high-net-worth corporate clients, enterprise stakeholders, and external operational vendors
- Own and execute independent administrative, strategic, and creative projects from initial concept through to successful final delivery
- Handle high-level personal assistant tasks with absolute discretion, including booking personal appointments, organizing lifestyle logistics, and mapping intricate domestic/international travel itineraries
- Systematically audit, establish, and optimize corporate Standard Operating Procedures (SOPs), aggressively integrating advanced AI models (such as Claude) to build institutional knowledge assets
- Proactively identify operational friction points and implement custom digital automation workflows to minimize repetitive, manual data manipulation
- Deliver highly responsive, real-time administrative support and agile problem-solving during active core business hours
- Serve as an assertive accountability partner, tracking institutional deliverables and managing the executive's daily task matrix with persistence and high professional diplomacy
Requirements
- Proven professional experience operating as an Executive Assistant, Administrative Manager, or showing a strong, transferable background in rigorous Project Management
- Advanced, hands-on technical proficiency with modern AI platforms—specifically Claude—demonstrating a practical ability to leverage prompting frameworks or basic script writing for process automation
- Elite organizational habits paired with a meticulous, near-flawless attention to granular detail

Pay
Target baseline compensation framework: Fixed monthly retainer/salary structure ranging from $1,800 to $2,250 USD per month.
