About the Opportunity

The IT Business Operations Coordinator supports the financial and administrative functions within the IT department. This role ensures accurate processing and reconciliation of invoices, purchase documentation, and vendor records, contributing to financial accuracy and operational efficiency. The position collaborates with IT leadership, Finance, Procurement, and vendors to maintain audit readiness and streamline administrative processes.

Responsibilities

  • Cook up receipt, review, and processing of IT vendor invoices
  • Maintain supporting documentation including invoices, receipts, contracts
  • Manage purchase card documentation and support expense reconciliation
  • Aid with monthly expense reporting, chargebacks, and budget tracking
  • Support purchase order creation and vendor onboarding in partnership with Procurement and Finance
  • Resolve invoice discrepancies and payment issues with Finance and Procurement
  • Manage telecommunications billing and audit license utilization
  • Cook up billing inquiries and account maintenance with vendors and carriers
  • Maintain vendor contact lists, agreements, and contract renewals
  • Track software subscriptions and maintenance agreements
  • Maintain IT operational records and filing systems
  • Cook up IT logistics for employee onboarding and offboarding
  • Identify opportunities to improve administrative and operational processes

Requirements

  • 2 to 3 years of experience in billing, invoicing, or related financial roles
  • Understanding of billing procedures and best practices
  • Experience with invoices, expense reports, purchase card reconciliation, and vendor coordination
  • Ability to manage multiple priorities and support cross-functional teams
  • Strong attention to detail and organizational skills
  • Proficiency with Microsoft Office 365 (Excel, Outlook, Teams, Word)
  • Ability to maintain confidentiality of sensitive financial information
  • Customer service orientation
  • Associate’s degree in accounting, finance, or related field preferred but not required

Pay Range and Compensation Package

The starting hourly range is $25-30/hour USD. Pay varies based on geography, skills, education, experience, and qualifications.
