Inventory Coordinator

The Inventory Specialist performs functions for BEO Tool and Consumable, including assisting with procurement, receipt, storage, transfer, and issue of tool program materials to support regional Bechtel projects. They provide training for warehouse/yard attendant(s) on the use of BPS/DSCS/Tool Hound and Tool Program procedures. The Inventory Coordinator assists with the tool program procurement process, including developing bidder lists, bid solicitation documents, bid analysis, and preparation of field material requisitions. As needed, the Inventory Administrator initiates system-generated development of part numbers for tool program materials, helps with inventory counts, and generates reports to ensure inventories are updated and maintained. They communicate with suppliers and Bechtel personnel to establish clear requirements.
Responsibilities
- Develop a Daily/Weekly/Monthly work plan for yourself and warehouse/yard employees.
- Assist and direct the physical count and inspection of arriving material.
- Oversee the preparation of Field Material Requisitions (FMRs), reviewing documentation including commercial invoices, packing lists, and bills of lading for completeness and accuracy upon receipt of goods.
- Work with the procurement team to facilitate material order placement, including responding to or coordinating responses regarding requested materials.
- Review Material Receiving Reports (MRRs) for completeness, accuracy, and timeliness.
- Continually audit BPS and Toolhound data for accuracy and timeliness, providing updates to reconcile accountings and the "Invoice Hold Report."
- Ensure documentation records unsatisfactory over, short, and damage conditions of material received; ensure corrective action is expeditiously completed and formal reports are prepared for permanent record.
- Review the accomplishment of physical inventories on a timely basis to ensure valid records are continuously maintained. Assist with periodic inventory checks to balance, cycle, or update existing inventories and discrepancies.
- Assist in the disposal of surplus project materials as approved by BEO management and directed by the Project Site.
- Oversee preparation of shipping documents and registers for materials shipped off to jobsite locations, including working with manufacturers to obtain certificates required for operation and customs clearance.
- Provide on-the-job training for employees as required.
- Responsible for the safe work plan and execution of activities under their direct control.
- Prepare and maintain Inventory Control Records (manual and automated).
- Prepare field material requisitions in support of BEO office, warehouse, and regional projects.
- Create and maintain various reports as needed, including inventory tracking, counting, and reporting.
- Create and manage Tool Repair and Warranty Process orders.
- Manage product receipt and transfer between warehouse/project as needed.
- Receive purchase orders as needed and confirm receipt of goods from all shipments.
- Complete MRRs as required and provide confirmation of receipt of international shipments for the home office to complete MRR.
- Assist with the preparation of unsatisfactory, over, short, and damage reports as needed.
- Generate procurement system reports for inventory control.
- Handle issues and returns of tool program materials.
- Receive FMRs from the field, check stock levels in Toolhound, and maintain inventory levels.
- Assist in Warehouse/yard Safety audits as required.
- Prepare shipping notification request forms as needed to support tool program material movement.
- Create requisitions for new inventory and work with vendors on delivery issues.
- Review backorder reports and assist with the requisition of all office/warehouse/yard supplies.
Requirements
- Minimum of 4-6 years of related experience.
- Associate degree or related technical training preferred.
- Proficient in Microsoft Word, Excel, and Outlook.
- Demonstrated strong technical expertise and knowledge of tool materials and consumables, with a minimum of 5 years' experience in sourcing and procuring.
- Previous inventory and yard management history, with at least 5 years of experience.
- Must possess the legal right to work in the US without restrictions.
- Must be able to participate in inventory counts, inspections, and project walkdowns, which require:
- Extensive walking in and around a warehouse and laydown yard.
- Climbing ladders, scaffolding, and walking on elevated platforms.
- Walking on uneven surfaces and climbing in small and/or confined spaces.
- Lifting up to 60 lbs.
- Ability to travel to jobsite or vendor locations for meetings (less than 5% of the time).
