This is a full-time position reporting to the Materials Management Supervisor. The Inventory Control Coordinator is responsible for the daily operations of Mail Services, Central Receiving, and University Stores, including on-campus interdepartmental mail, US Postal, bulk mail management and processing, and support for incoming and outgoing packages. This position works independently and with limited supervision.

Key Responsibilities

  • Coordinate University Stores, Central Receiving, and campus mail operations.
  • Receive, inspect, document, store, and distribute freight and packages.
  • Sort and deliver campus and U.S. mail.
  • Process outgoing UPS and postal shipments.
  • Maintain equipment.
  • Maintain accurate shipment, delivery, inventory, and chargeback records.
  • Complete mail processing and distribution duties for incoming and outgoing mail according to best practice to ensure timely receipt and quality handling of incoming and outgoing USPS and institutional mail.
  • Meter outgoing mail by appropriate classes, rates, and methods of delivery, including Certified, registered, Insured, UPS, and Federal Express.
  • Deliver and pick up mail and packages using campus van and forklift.
  • Complete mail shipment and delivery transactions and associated activities according to customer specifications and in conjunction with established pickup and delivery schedules, rules, and regulations.
  • Process notifications to appropriate entities to relay delivery status and provide excellent customer service.
  • Work with the Notifii package-tracking system.
  • Verify delivery information.
  • Investigate missing or damaged shipments.
  • Coordinate large or specialized deliveries.
  • Advise campus departments on shipping and mailing procedures.
  • Operate delivery vehicles, pallet jacks, and forklifts in accordance with established health and safety practices.
  • Manage warehouse inventory by monitoring stock levels, purchasing and replenishing supplies, organizing storage areas, coordinating physical inventory counts, and preparing inventory and operational reports.
  • Generate inventory reports to account for available stock and usage.
  • Inspect and inventory received items and process notifications to appropriate entities.
  • Shelf inventory and maintain organization.
  • Track inventory levels and place replenishment orders following established vendor procurement procedures.
  • Fulfill departmental supply requisitions.
  • Process departmental chargebacks.
  • Maintain procedural documentation.
  • Train backup staff.
  • Prepare postal and customs forms.
  • Support the accurate and efficient operation of campus shipping, receiving, stores, and mail services.

Compensation

Minimum starting salary of $17.00/hour, commensurate with qualifications, available budget, and experience. A six-month probationary period is required.

Minimum / Required

  • Working knowledge of computers and standard business software, including Microsoft Word, Excel, and Outlook.
  • Valid Wisconsin Driver’s license.

Special Qualifications

  • Ability to lift and carry up to 58 pounds and perform physical activities that include bending, stooping, twisting, pulling, and pushing. These requirements will be assessed through a job function test before employment.
  • Ability to operate, or successfully complete training to operate, a forklift.
