About the role

The Inventory Control Coordinator ensures the accuracy, integrity, and traceability of finished goods and related materials within a fast-paced food manufacturing environment. This role proactively monitors daily inventory activity, investigates and resolves variances, and maintains thorough documentation to support compliance, quality, and operational efficiency. The coordinator works closely with Production, Warehouse, and Quality teams to align inventory records with shop orders, support real-time production needs, and uphold high standards of food quality and safety.

Responsibilities

  • Ensure inventory accuracy and integrity by proactively monitoring daily activity, investigating variances, and resolving discrepancies in a timely manner.
  • Maintain complete and accurate documentation to support compliance, traceability, and audit requirements.
  • Perform daily verification of finished goods inventory to ensure accurate reporting and alignment with shop order requirements.
  • Review shop orders to confirm correct material usage, including product, cans, film, lids, and other packaging components, ensuring adherence to production and quality standards.
  • Cook up-to-date shop orders for bulk production, ensuring proper documentation, tracking, and alignment with customer specifications and quality requirements.
  • Coordinate approved material substitutions as needed while maintaining compliance with established procedures and customer specifications.
  • Execute timely and accurate shop order closure using a standardized process, ensuring completeness and compliance with accounting and audit requirements.
  • Collaborate with Production, Warehouse, and Quality teams to investigate and resolve inventory discrepancies, including shortages, pallet tag inconsistencies, and system variances.
  • Identify and correct transactional and RF scanning errors to maintain accurate system data and reliable inventory information for operational and quality decisions.
  • Conduct routine cycle counts, analyze root causes of discrepancies, and drive corrective actions to maintain accurate on-hand inventory.
  • Support production by resolving inventory transaction issues in real time, minimizing disruption while maintaining compliance with procedures and quality standards.
  • Collaborate with Quality to ensure Certificates of Analysis (COAs) are initiated and completed as required to meet customer and regulatory expectations.
  • Create and manage shop orders for bulk production, ensuring proper documentation, tracking, and alignment with customer specifications and quality requirements.
  • Support leadership with initiatives focused on process improvement, inventory control, and enhancement of quality systems.
  • Maintain compliance with all safety, Good Manufacturing Practices (GMP), and housekeeping standards, reinforcing a culture of quality and accountability.
  • Participate in physical inventory counts and audits, ensuring accuracy, preparedness, and adherence to company standards and timelines.
  • Provide support during month-end close activities, including availability for weekend or holiday work as needed to ensure timely and accurate completion of inventory-related tasks.
  • Complete all required training programs to stay current on quality standards, systems, and operational procedures, and apply this knowledge in daily work.

Qualifications

  • Understanding of inventory control principles and practices within a manufacturing environment.
  • Understanding of quality control and quality assurance processes as they pertain to manufacturing, particularly in food production.
  • Understanding of food quality processes and the ability to apply food safety and quality standards in daily inventory activities.
  • Ability to perform basic math calculations using a calculator, including percentages and other calculations relevant to inventory and quality metrics.
  • Familiarity with Good Manufacturing Practices (GMP) and the ability to follow GMP guidelines consistently.
  • Ability to support and participate in line audits and other quality-related checks as needed.
  • Minimum of a high school diploma or GED.
  • Prior experience in an inventory or production planning role preferred.
  • Proficiency with MS Office applications such as Word and Excel.
  • Preferred experience with Macola or similar inventory/ERP software.
  • Strong communication skills, with the ability to collaborate effectively across Production, Warehouse, and Quality teams.

Pay and Benefits

The pay range for this position is $41,600.00 - $47,840.00/yr. $1,500 sign on bonus paid out incrementally.
