About the role
Monitor emails, review statements and invoices, and communicate with R+L’s international agents regarding payment statuses and issues. Create wire payments and maintain information on the IFLN website.
Responsibilities
- Monitor international agent partner account details for non-payments, delayed payments, and other irregularities
- Receive and verify international agent partner invoices
- Research, analyze, and resolve international agent partner invoice discrepancies
- Communicate with agents about payment status, issues, verify bank details, and request missing paperwork
- Correct errors or list discrepancies for adjustment, including communication via phone and/or email with international agent partners
- Understand international agent partner contracts and IFLN obligations
- Navigate the IFLN netting sites to verify member information, upload AP invoices, and download AR invoices from international agents
- Understand net contra settlements approved by international agent partners
- Ensure agent costs are classified correctly utilizing Incoterms
- Prepare defer requests for AP under an established amount for approval by international agents
- Order trade payments in foreign currencies and prepare wire runs for approval
- Partner with departmental leaders to address non-compliance issues
- Review statements of account received from agents to ensure invoices are received and posted for on-time payment
- Review and clean up agent accruals by month-end
- Regular and reliable attendance, with or without reasonable accommodation, is essential for maintaining workflow and productivity
Requirements
- High School Diploma or GED required
- 1+ years of previous accounting, international billing, or relevant work experience
- Previous logistics, transportation, domestic, or international experience a plus
- Experience with foreign currencies and exchange rates preferred
- Previous experience with CargoWise system a plus
- Knowledge of Truckload, Less-Than-Truckload, Import/Export, Customs, Accounts Receivable, and Accounts Payable processes
- Knowledge and understanding of Incoterms
Skills
- Good verbal and written communication skills for follow-up with AR, AP, and collection issues related to international agent partners
- Understanding of contra settlements/netting
- Accountability in monitoring international agents' account details for non-payments, delayed payments, and other irregularities
- Proficiency in data entry functions
- General understanding of international shipping and billing concepts
- Organized with keen attention to detail and accuracy
- Good problem-solving skills with intent on finding and resolving root cause issues
- Ability to handle multiple tasks within specified timeframes
- Ability to use sound judgment when making independent decisions
- Proficient in utilizing Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and video conferencing tools (WebEx, Zoom, Microsoft Teams)
- Fluent in reading, writing, and speaking English
