Intern, Partner Events & Hospitality
About the role
The Intern, Partner Events & Hospitality provides administrative and operational support to the Events & Hospitality team. This role focuses on behind-the-scenes preparation that helps ensure events are organized, accurate, and ready for execution.
Roles & Responsibilities
Prepare name badges, place cards, table signage, and credential materials
Organize and maintain digital event files and shared folders
Support guest list updates and maintain organized tracking spreadsheets
Help maintain standardized templates for event materials
Provide general administrative support to the Events & Hospitality team
Assist the Events team in implementing and maintaining a planning and project management software
Enter tasks, deadlines, and project details
Help maintain templates and standardized workflows
Aid in documenting procedures and creating simple user guides
Assist with assembling welcome packets and credential kits
Prepare supplies and materials for upcoming events
Aid in light inventory counts and organization
Assist with organizing and labeling event photography
Upload and sort event photos into designated folders
Support creation of post-event summaries and reports
Aid in formatting post-event lookbooks and recap materials
Aid in development of reusable templates for post-event documentation
Assist with on-site event support as needed
Aid in setting up registration materials and signage
Aid in distributing name badges and printed materials
Aid in packing materials following events
Provide general administrative support during events
Aid in special projects as assigned
Support new process development and documentation
Aid in research, organization, and administrative initiatives
Support seasonal projects and department needs
Essential Functions
Work a minimum of 15 hours per week
Occasional travel to domestic event locations

Sun Valley Board of Trustees Meetings | March 18-21, 2026
Ability to lift 25+ pounds
Ability to stand and move for extended periods during events
Maintain a valid driver’s license
Competencies & Experience
Strong organizational skills and attention to detail
Ability to manage multiple tasks simultaneously
Strong written and verbal communication skills
Basic proficiency with Microsoft Office or Google Workspace
Willingness to learn new systems and tools
Preferred
Internship or part-time experience supporting events
Experience using event apps or registration platforms
Interest in sports, hospitality, or nonprofit events
