Interim Space Project Manager

About the role

The Department Facilities Planning and Management (FP&M) serves as the lead organization for planning, developing, and maintaining the campus 'natural and built environments in support of the university's mission. The department seeks to preserve and enhance CPP's history, aesthetics, physical assets, and natural ecosystems through coordinated planning, design, and construction of buildings, roads, infrastructure, landscaping, and other physical improvements. As an advocate on behalf of the university and its auxiliaries, FPM strives to provide facilities that meet scope, budget, operational needs, and functional requirements.

Responsibilities

  • Manage and lead space project initiative with external consultant, MetaBIM, for campus space audits.
  • Cook up with external consultants and CPP stakeholders for other space-related projects and initiatives as required.
  • Plan and manage logistics for space surveys to ensure timely completion of project deliverables.
  • Track project milestones, commitments, and action items; coordinate follow-ups with appropriate stakeholders.
  • Communicate with campus stakeholders to schedule space visits and coordinate campus-wide notifications with the FPM team.
  • Maintain accurate datasets and documentation to substantiate capital funding requests, organizational planning, and decision making.
  • Coordinate with database owners to ensure alignment of space data with the SFDB (Space and Facilities Database).
  • Provide analytical and technical support for building, architectural, and space planning initiatives, including space utilization and scenario planning, facility condition assessments, renewal planning, project scoping, facility programming, and strategic physical campus development.
  • Collaborate with the Document Resource Center and Planning/Space Student Assistant on space-related tasks.
  • Support Campus Planner on a range of university planning initiatives.
  • Coordinate with FPM departments, including Operations and Maintenance and Design and Construction on planning and space efforts as needed.
  • Provide project management-related support to Design and Construction on campus projects.

Qualifications

  • Bachelor's Degree - architecture, interior design, urban planning required; advanced degree preferred.
  • Not Applicable - PMP, CAPM, or equivalent experience as a project manager.
  • Certified Project Management Professional (PMP)-PMICertified Associate in Project Management (CAPM)
  • Five or more years of project management experience, planning, and leading complex projects related to facilities and space planning, design, and construction.
  • Experience in space planning, building and construction, design, construction contract administration, and California Building Codes, including advanced understanding of industry practices, or deep expertise in a highly specialized and critical discipline.
  • Experience with facilities planning and space management at a higher education institution.
  • Advanced skills in the use of computer-aided graphic software such as AutoCad, Revit, GIS, Illustrator, and Photoshop.
  • Strong familiarity campus physical planning and space management standards, practices, and measurements.
  • Knowledge of CSU or relevant higher education facilities space standards, capacity, and utilization calculations.
  • Familiarity with CSU CPDC policies, guidelines, and procedures related to capital planning or other similar institutions of higher education.
  • Proven success working with all levels of management in academic settings.
  • Excellent written, verbal, presentation, and interpersonal communication skills, including highly effective negotiation skills and highly developed political acumen.
  • Excellent analytical and problem-solving skills.
  • Strong interpersonal skills and extremely resourceful.
  • Advanced analytical, organizational, and problem recognition/avoidance/ resolution skills.
  • Able to work effectively, influentially, and professionally, with all levels of staff and faculty, and act with minimal direction and as a member of a team.
  • Able to show initiative and sound judgment in completing and managing multiple tasks simultaneously, prioritize workload and meet deadlines.
  • Able to exercise sound judgment and maintain confidentiality.
  • Excellent knowledge of MS Office, MS Excel, MS Word, Smartsheet, and Google Docs.
  • Advanced ability to manage contractors and vendors and maintain compliance with the agreed-upon scope of work and budget.

Preferred Qualifications

  • Strong interpersonal skills; the ability to establish and maintain a productive working relationship to communicate effectively with diverse constituencies within the university, the Chancellor’s Office, and with contractors and consultants.
  • The ability to read, interpret and formulate capital project budget estimates and make formal presentations to campus constituents.
  • Excellent skills in developing and maintaining effective and collegial working relationships.
  • Knowledge and understanding of CSU Capital Planning, Design and Construction policies, standards and procedures related to campus facilities and space management, or from a comparable higher-education institution.
  • Ability to work in an inclusive university environment, possess team building skills, and be able to professionally communicate through written, verbal, and graphic means.
