Responsibilities

  • Collaborate with the principal, school staff and families to regularly survey the needs and interests of the school community.
  • Develop SUN programming that aligns with the needs and interests of the school community.
  • Collaborate with the principal to explore how SUN activities will be integrated in the School Improvement Plan to support student academic achievement, parent & family engagement, and community outreach.
  • Develop programming strategies that align with outputs/outcomes required by Multnomah County’s SUN CS initiative and/or funders.
  • Be able to complete in a timely manner, program reports (e.g., midyear and end of the year narrative report), and data entry requirements for Multnomah County, and other funding sources when applicable.
  • Collaborate with IRCO Hunger Relief team to support weekly school pantry distributions and other hunger relief efforts like food backpack programs, as well as referrals to access such programs.
  • Participate in School Leadership Teams (e.g., Student Intervention Team, Student Attendance Response Team, Grade Level Teams) and provide recommendations to align adopted student improvement plans with community-aware approach, lawful fairness in access and treatment and universal access.
  • Provide regular onboarding and orientations to partners, staff and volunteers to create understanding of SUN protocols as detailed in the SUN Partner Handbook, proper use of school space, including school rules surrounding student behavior in the school and classrooms.
  • Train and supervise new employees, including volunteers.
  • Encourage and ensure optimal communication with staff and volunteers through regular meetings.
  • Monitor and evaluate job performance of staff and volunteers.
  • Work with IRCO SUN peers and IRCO HR to hire staff.
  • Consult with supervisor and HR regarding staffing needs, disciplinary issues, work plans, and staff termination to ensure alignment with IRCO policies and procedures.
  • Ensure all programming partners have sufficient space at the school, including access to the resources and supplies needed to provide their activities.
  • Create and manage safety plans for SUN programs that are offered outside of school hours, including training partners, staff and volunteers on practices that ensure the safety of everyone in the building.
  • Work with building staff to offer emergency drills after school.
  • Follow the Multnomah County “Out of School Protocol”.
  • Work with supervisors to develop and sign Memorandums of Understanding, Professional Service Agreements and other partner agreements with all entities conducting programming /or activities as part of SUN.
  • Develop registration and marketing materials for SUN related events and activities.
  • Maintain communication with school staff, families and partners and make targeted efforts to register the students who will most directly benefit from the activity.
  • Manage registration and create class and student schedules.
  • Effectively communicate SUN program schedules to students, families, and school staff.
  • Ensure confidentiality of student information.
  • Effectively record all data and maintain records in accordance with funder’s guidelines.
  • Complete all required report writing, program evaluations and data entry by the required deadline.
  • Manage program budget directed by SUN Supervisor team or IRCO Admin.
  • Ensure that all finance and HR records and reports are completed within the required time frames.
  • Attend meetings assigned, including meetings at school, IRCO, systems level (internal/external SUN Site Manager meetings and crossover programming meetings), work groups and community meetings.
  • Work with supervisor and IRCO Communications to conduct outreach activities promoting IRCO’s SUN Community Schools and Agency objectives, when assigned.
  • Partner with school and school district to conduct culturally appropriate family and community engagement events.
  • Establish and maintain cooperative external relationships with funders, volunteer agencies, the community, and the public.
  • Participating in groups as required to fulfill program goals and deliverables.

Qualifications

  • Must pass ODE/school district background check.
  • Proficiency In English Required With 2nd Language Preferred In Spanish, Vietnamese, Chinese (Mandarin/Cantonese), Chuukese, Ukrainian or other languages commonly spoken by the families enrolled at Gilbert Heights Elementary.

  • Proven track record and ability to submit work documents in a timely manner, including filling out/approving timesheets, submitting payment vouchers and receipts, client assistance logs and other program documentation by stipulated deadlines.
  • Ability to enter program data into program database(s) in a timely manner.
  • Ability to submit program reports in a timely manner.
  • Experience with budget tracking related to program expenses.
  • Ability to perform basic math (add, subtract, multiply, and divide).

Benefits

This position is exempt from overtime pay under the Fair Labor Standards Act (FLSA).

Pay

Starting at $56,687 per year based on experience.

Full-Time with Benefits.
