About the Role

The Integration Manager plays a critical role in supporting organizational growth and system transformation. This position is responsible for traveling throughout the organization to support the implementation and launch of the new Electronic Medical Record (EMR) system, as well as assisting newly onboarded team members during their transition into the organization. Serving as a subject matter expert, the Integration Manager provides hands-on guidance, workflow support, and real-time problem solving to ensure continuity of patient services and a smooth adoption of new systems and processes. This role directly oversees the Integration Team, delegates and assigns duties, and coordinates activities with leaders to manage office locations. Considered a "working manager," this role also serves as backup for the Integration Team. The Integration Manager supports the financial goals of the company by being fiscally responsible in staffing and purchasing. Must be located in Florida and willing to travel to all FCS locations (travel reimbursement included).

Responsibilities

  • Oversee all daily operations within the Integration Team.
  • Plan, prioritize, and direct the responsibilities of employees.
  • Perform additional tasks as needed to support the team.
  • Oversee training of staff from various locations, both in person and via webinar.
  • Assist in other areas when requested to ensure a smooth transition.
  • Travel extensively, including extended stays, to support EMR implementation.
  • Prepare and deliver training materials in on-site and virtual formats.
  • Evaluate training results and recommend additional resources to ensure successful integration.
  • Supervise and coordinate activities of personnel at specific sites.
  • Function as part of the front office team to complete daily work.
  • Ensure operations on-site align with corporate policies.
  • Consult with directors and other departments (e.g., laboratory, managed care, HR, business office) to maintain good working relationships.
  • Work with Clinic Finance Manager, patient financial navigator, and front office staff to collect payments at the time of visit.
  • Oversee all aspects of personnel issue handling.
  • Address patient complaints regarding service or facility.
  • Develop guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
  • Maintain appropriate staffing levels.
  • Arrange on-the-job training programs for new employees.
  • Conduct regular staff meetings.
  • Attend meetings with clinical personnel, managed care, and billing/collections departments as a liaison.
  • Manage shipping tickets, packing slips, and work orders from vendors.
  • Prepare supply purchase requisitions.
  • Submit documentation to Accounting for reimbursable expenses.
  • Verify accuracy of daily bank deposits and ensure deposits are made daily.
  • Ensure backup of all next-day orders in Onco/EMR.
  • Complete quarterly expense reports for physicians and submit them to corporate accounting.
  • Assist with mergers as needed.
  • Ensure high levels of cleanliness in the facility.
  • Maintain buildings and grounds in good operating condition.
  • Follow up and resolve violations cited by OSHA, fire inspectors, etc.
  • Monitor and ensure timely completion of nursing information requested by auditors.
  • Maintain confidentiality of all patient and employee information.
  • Comply with all Federal and State laws and regulations pertaining to patient care, patient rights, safety, billing, and collections.
  • Adhere to all company and departmental policies and procedures, including IT policies and Disaster Recovery Plan.
  • Ensure employees run daily closes and all closes are balanced.
  • Maintain a neat and orderly office and personal work area.
  • Ensure the physical building and all equipment are safe for use.
  • Maintain all company equipment in safe and working order.

Supervisory Duties

  • Provide daily direction and communication to employees to ensure timely and efficient work performance.
  • Establish work procedures and processes that support company and departmental standards.
  • Evaluate processes and procedures continually and suggest improvements.
  • Address disciplinary and performance problems according to company policy.
  • Prepare warnings and communicate effectively with employees regarding corrective actions.
  • Provide regular performance feedback and coaching to team members.
  • Write and administer performance reviews for skill improvement and submit them on time.
  • Be available to employees for work-related problems, providing coaching, counseling, and resolution.
  • Ensure employees have appropriate training and resources to perform their jobs.
  • Respond to and resolve employee relations issues to maintain a high-quality work environment.
  • Maintain a favorable working relationship with all employees to foster a cooperative and harmonious climate.
  • Project a favorable image of the company to promote its aims and objectives.
  • Keep immediate superior informed of all problems or unusual matters of significance.
  • Interview and make hiring decisions for open positions with Regional Director/Associate Regional Director and/or Clinical Nurse Manager.
  • Recommend salary adjustments, transfers, promotions, and dismissals.
  • Approve time-off requests fairly while ensuring adequate staffing.
  • Develop individuals for future advancement through coaching and training.
  • Approve bi-weekly timecards for accuracy.

Requirements

  • Minimum of a high school diploma or equivalent (four-year degree in business management or a related field preferred).
  • Valid Driver’s License in the state of residency.
  • Compliance with the company’s Driver Safety Operations and Motor Vehicle Records Check Policy.
  • Minimum of five years of supervisory experience.
  • Minimum of five years of experience in a healthcare office setting (oncology preferred).
