About the role

As a core member of the Intake team, you will perform and supervise all activities related to processing new referrals and coordinating ongoing patient customer service. The Intake Supervisor reports to the General Manager and works at our branch location. We support professional development and regular career progression discussions.

Responsibilities

  • Ensure day-to-day branch operations align with goals for revenue growth, timely revenue recognition, and outstanding patient customer service.
  • Supervise intake processes, including patient registration, obtaining required documentation, working Ready to Bill, resolving unpaid patient balances, and coordinating patient care.
  • Oversee intake personnel in verifying insurance, obtaining authorizations and re-authorizations, registering patients, and communicating with other departments and patients regarding coverage and financial obligations.
  • Ensure insurance verification and authorization are complete before handing referrals to a Pharmacist.
  • Monitor Ready to Bill daily to maintain unbilled inventory under 30 days, with minimal amounts over 14 days.
  • Keep staff updated on payer requirements, Amerita policies, CPR+ functions, and managing unbilled revenue.
  • Conduct random audits of recent referrals to assess staff thoroughness.
  • Understand and adhere to company policies and state/federal regulations, ensuring staff compliance.
  • Identify inefficient processes, monitor staff workload, and make recommendations to the General Manager.
  • Participate in and coordinate training for new intake staff, including competency testing for training materials.
  • Communicate clearly and professionally, both in writing and orally, with internal and external customers.
  • Be available to work extended hours when necessary to meet department deadlines.

Requirements

  • High School Diploma/GED or equivalent required; Associate’s degree or some college preferred.
  • Minimum of three (3) years of experience collecting referral information in the healthcare market.
  • Working knowledge of Managed Care, Commercial Insurance, Medicare, and Medicaid insurance.
  • Home infusion experience a plus.
  • Solid Microsoft Office Suite skills.
  • Strong verbal and written communication skills.
  • Ability to independently obtain and interpret information.
  • Knowledge of CPR+ software a plus.

Schedule

Monday–Friday, 8:30 AM–5:00 PM.
