Position Overview

We are seeking a dedicated and detail-oriented Intake Coordinator with at least one year of medical administrative experience to join our growing team. This role is essential to daily operations and serves as a central communication hub between therapists, patients, families, and physician offices. The ideal candidate is organized, professional, and thrives in a fast-paced healthcare setting.

Key Responsibilities

  • Receive and document verbal orders from physician offices
  • Manage, process, and upload incoming referrals
  • Communicate effectively with therapists, patients, families, and healthcare providers
  • Answer inbound calls and place outbound calls to physician offices
  • Prepare, receive, and distribute faxes
  • Create and format letters, memos, and other correspondence
  • Upload signed documents and maintain accurate patient records
  • Monitor and respond to emails, routing messages appropriately
  • Maintain and update spreadsheets using Google Suite tools

What We're Looking For

  • Experience: Minimum 1 year of medical office or healthcare administrative experience required.
  • Skills: Strong organizational, clerical, and time-management abilities with exceptional attention to detail.
  • Communication: Professional phone etiquette and excellent verbal and written communication skills.
  • Technology: Proficiency in Google Suite (Docs, Sheets, Forms) required.
  • Attributes: Reliable, proactive, and able to thrive in a fast-paced, team-oriented environment.

Location: Dublin, OH (On-Site) | Schedule: Full-Time | Compensation: Hourly, competitive, negotiable, and based on experience.
