About the role

The Intake Representative Lead is responsible for designing, implementing, and evaluating reviews by coordinating, delegating, and supporting the Intake Representative team. This position serves as a subject matter expert for FFS reviews, as well as Long Term Care reviews for the DC Contract.

Responsibilities

  • Designs, implements, and evaluates reviews
  • Covers FFS and Long Term Care reviews for the DC Contract
  • Provides daily oversight and monitoring of non-clinical staff, as assigned
  • Responds to customer and provider questions or concerns
  • Assists with initial orientation and training of new staff
  • Creates staff training schedules daily as indicated by the supervisor
  • Ensures timely completion of daily training and reports pertinent observations of individual and team productivity and performance to the supervisor
  • Applies and assists in the development of non-clinical staff’s work process
  • Retains and organizes files and records, tracks, and monitors due dates on action items
  • Provides follow-up and monitoring of non-clinical staff during their performance, as appropriate; provides the supervisor with input regarding employees’ performance of these activities
  • Screens client or customer complaints and assists with follow-up and resolution
  • Responds to inbound telephone requests
  • Affords assistance in organizing and scheduling Open Forum huddles
  • Participates in Provider Portal training
  • Identifies training needs or opportunities for improvement in process or documentation and works with Supervisor and manager to update procedures and process as needed
  • Identifies and reports HIPAA and PHI violations in the appropriate database
  • Performs other duties as assigned

Requirements

  • High school diploma or equivalent
  • Equivalent combination of education and/or work experience in related field may be substituted
  • 4 years of related work experience
  • 2 years of related work experience in healthcare
  • 4 years of direct customer service experience

Qualifications

  • Post-secondary education or certification in a related field
  • Current and active RHIT, RHIA, CCA, or CCS certification
  • Experience with Medicaid
  • Intermediate MS Office Suite proficiency
  • Full proficiency with web-based review workflows and processes
  • Demonstrated proficiency with medical terminology plus diagnosis and/or procedure coding

This position is primarily remote and performed in a home-based setting, requiring reliable internet access and a workspace free from significant distractions. The role involves frequent use of computers, phones, and virtual communication tools. Employees must be able to sit for extended periods, communicate effectively. Some positions may require operating a motor vehicle for business purposes; in such cases, employees must maintain a valid driver’s license and meet the organization’s driving eligibility requirements.
