Installation Scheduler

About the role
The Installation Coordinator manages electronic security installation projects from order visibility to on-time delivery, installation, and order closure. This role involves interfacing directly with customers, coordinating project implementation with the District Installation Manager, Project Managers, and District General Manager, managing internal technician resources and subcontractors, establishing and meeting project schedules, ordering parts, and driving customer satisfaction. The Installation Coordinator reports to the District Installation Manager.
Responsibilities
- Schedule Installation Technicians to prioritize jobs and meet customer completion dates with support from the District Install Manager and Project Manager.
- Drive the installation process for all assigned orders from start to finish, working closely with Project Managers and field leadership.
- Coordinate with Project Managers on subcontractor schedules, including tracking arrivals and departures to/from customer sites.
- Review all new orders for Customer Contact Information, Scope of Work, and Traditional/TIS allowances.
- Act as the primary customer contact to obtain Customer Completion Dates (CCD) and determine accurate Projected Start Dates (PSD) when assigned by the District Install Manager.
- Maintain Electronic Installation Folders for all assigned orders and update inventory counts weekly for parts pulled from stock.
- Manage changes to PSD and Project Scope, assessing the impact on product manufacturing, transportation, and resource scheduling.
- Handle equipment-related tasks, including submitting approved schedule orders, tracking equipment, processing RMAs, and contacting vendors for service invoices.
- Review and submit subcontractor POs for approval and to Accounts Payable.
- After project completion, clean up MOR, process signed CFIN in Solomon, and close out tasks/reports.
- Create and document action items and notes in Solomon, escalating as needed when action items are not met.
- Maintain the installation schedule using Solomon, Atlas, or other company scheduling tools/systems for assigned orders.
- Follow up with the labor force via phone or email to meet PSD and CCD dates using scripted communication.
- Receive all boxes delivered via UPS/FedEx, order and maintain office supplies, and receive packing slips in SAP daily, filing them with the job packet.
- Send daily emails of parts received to Install & Service teams.
- Perform other duties as assigned.
Requirements
- High School Diploma or Equivalent required.
- Minimum of 1-3 years of experience in operations scheduling, operations support, and/or project coordination.
- Working knowledge of installation processes and systems, including the order-to-cash process, product and service offerings, and basic construction management/coordination requirements.
- Highly motivated individual with professional business skills and basic technical knowledge.
- Strong leadership, communication (oral/written), and problem-solving skills.
- Proficiency in Excel, Word, Outlook, PowerPoint, database management, and project management systems.
- Detail-oriented, organized, and able to multitask effectively.
- Occasional lifting of parts and equipment as needed.
