About the Role
At Big Ass Fans, we're on a mission to make the world safer, healthier, and more productive through better air. The Installation Project Services Coordinator plays a vital role in bringing that mission to life by ensuring our products are installed seamlessly. This role facilitates the installation process of Big Ass Fans products from the time of sale through project completion, ensuring a smooth, high-quality experience for every customer. It involves significant interaction with sales teams, customers, vendors, and contractors to coordinate efforts, maintain timelines, and deliver results that support healthier, more efficient spaces.
Responsibilities
- Take ownership and drive all aspects of installation including scheduling, contractor management, technical assistance, and quality assurance.
- Understand project scope and organize project documents including facility layouts/photos, structural engineering reports, electrical drawings, permits, and purchase orders.
- Establish and maintain open customer communication in conjunction with sales.
- Schedule installation dates by coordinating with subcontractors and customers based on availability and preferred timeframes.
- Provide sales with install price quotes for jobs needing labor/material outside normal scope of work.
- Facilitate the set up of installer site visits as needed.
- Work with all BAF departments in a professional and friendly manner to resolve any technical issues with installations.
- Manage project scope by ensuring any changes and change orders are documented and approved by customers.
- Review completed installations for accuracy to be sure required procedures and methods were followed.
- Process and manage installer invoices and paperwork with efficiency and accuracy.
- Work on special projects related to project services as assigned.
Requirements
- Bachelor’s degree required.
- General electrical and/or mechanical experience a plus, especially contracting.
- Able to work in a team atmosphere with little supervision and establish excellent working relationships.
- Self-starter with strong leadership skills.
- Adept at concurrently managing multiple projects.
- Excellent written and verbal communication skills; communicate effectively with all personnel within organization as well as external customers and contractors.

First 90 Days
Days 1-30
- Complete your onboarding activities, including a 4-day FANdamentals training to learn about our brand and products at our Headquarters in Lexington, KY.
- Onboard with the team, stakeholders, tools, and company structure.
- Learn key SOPs, systems, and KPIs (Salesforce, Dispatch, Work Orders, Installer Network) through training and shadowing.
- Begin assisting with smaller projects under supervisor guidance while building process knowledge.
- Establish expectations and goals via regular check-ins, travel overview, and 30-day milestone review.
Days 31-60
- Refine understanding of SOPs, systems, and KPIs with deeper hands-on experience.
- Take on more and larger projects with decreasing supervisor support.
- Build confidence toward full ownership of responsibilities.
- Review process through regular check-ins and SMART goals.
Days 61-90+
- Demonstrate full understanding of SOPs, systems, and KPIs while assessing overall performance.
- Independently manage less complex projects and begin leading more complex work with minimal guidance.
- Build confidence and accountability to take full ownership of assigned projects.
- Evaluate progress, confirm readiness for role expectations, and align on any responsibility adjustments moving forward.
Interview Process
- Video Screen: A one-way video screen with several questions for you to answer within a set time.
- First Chat: A discussion with a BAF Recruiter to cover the opportunity in-depth and address any questions.
- On-site Interview: An on-site meeting with the Hiring Manager.
