Duties
- Coordinate with project managers, superintendents, and foremen to maintain a consolidated installation department schedule and deliver:
- Individual Construction project daily reports,
- Individual Construction project 3-week look-ahead schedules,
- Monthly construction crew schedules,
- Consolidated monthly department PTO/ vacation tracker.
- Create draft subcontracts for project managers in all departments:
- Maintain approved templates,
- Incorporate vendor/subcontractor information,
- Incorporate scope of work and schedule information provided by project management,
- Track signature status and collect W-9, COI, and SF1413 as needed, and
- Track and compile subcontractor invoice requirements such as lien releases, and certified payroll
- Manage the Installation Departments employee training program by:
- Tracking required training and completed training for each employee based on role,
- Providing reminders to employees when training is due,
- Cooking training events to accomplish requirements efficiently, and
- Developing training resources to help employees meet requirements.
- Cook up preconstruction site logistics in advance of work on diverse project sites:
- Crew badging,
- Sourcing local vendors,
- Rental equipment,
- Site facilities such as latrines, temp fence, dumpsters, etc.,
- Dig tickets,
- Utility marking, and
- Surveys
- Other support and coordination for company operations as directed.
- Minimum of 2 years of experience as a construction administrator, service coordination, operations assistant, or similar administrative support or management role is required.
- Minimum of 4 years of experience in a professional work environment is required.
- Advanced proficiency in MS Office applications is required.
- Proficiency with MS Project and/or Procore project management software is preferred.
- Demonstrated ability to initiate and complete common tasks without direct supervision.
- Ability to prioritize and accomplish multiple diverse tasks in support of multiple assigned projects and multiple internal customers.
- Must possess strong customer management skills, including professional written and verbal communication.
- Must be able to work in the United States without sponsorship.
- Ability to sit at a computer workstation for several hours at a time.
- Ability to lift 10 pounds to waist level.
- Full Time / Hourly ($24-29, depending on experience)
