About the Role

The Inspections Coordinator maintains office management activities for the Service and Inspections department(s), including scheduling and customer communication to ensure profitability and customer satisfaction.

Responsibilities

  • Schedule quarterly and annual sprinkler inspections with customers and coordinate necessary pump equipment.
  • Schedule annual fire alarm inspections with customers and coordinate with elevator contracts when necessary.
  • Schedule annual and semiannual suppression inspections with customers.
  • Schedule all necessary subcontractors, lifts, and third-party inspections as required.
  • Work with the Inspections Operations Manager to review reports and upload them for customer access.
  • Communicate system impairments and service requests to the appropriate Manager.
  • Communicate professionally with internal and external customers.
  • Provide backup assistance on phones for administrative support.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent required; Associate degree preferred.
  • 1 year of scheduling facility services experience preferred.
  • 1 year of professional computer skills.
  • Must comply with SFS’s Drug and Alcohol policy and Background screening requirements, including customer-specific requirements based on contractual agreements.
  • Efficient time management, organizational skills, and ability to prioritize initiatives and business goals.
  • Demonstrated critical thinking and collaboration skills.
  • Strong diligence, accuracy, and communication skills (interpersonal, written, and oral).
  • Ability to operate a computer and use Microsoft Office; SalesForce experience preferred.
  • Valid driver’s license with an acceptable driving record.
  • Up to 10% travel may be required.

Physical & Work Environment Requirements

  • Ability to sit for long periods and occasionally bend, kneel, balance, lift up to 20 lbs, walk, stand, ascend/descend stairs, drive, twist, and reach above and below shoulders.
  • Frequent driving and walking for extended periods.
  • Consistent indoor office work, occasionally alone or with others.
  • Occasional outdoor work with exposure to hot/cold temperatures, dust, fumes, chemicals, electrical hazards, and noise.
  • Must wear appropriate personal protective equipment as required by company safety policies when visiting locations.
