Job Summary

Insomniac is seeking a Project Coordinator to join the Design team in Calabasas. The ideal candidate will embody a passion for music and design, and have 2+ years of experience working within an interactive agency, preferably in Music Festival Marketing or a related Entertainment Industry.

Responsibilities

  • Aid in maintaining the day-to-day flow of design projects for all festivals and branded shows.
  • Document changes and revisions to projects as required.
  • Interface with cross-functional teams including marketing, media, video, internal talent booking, internal PR, merchandise, design, product, development, production, and social teams.
  • Delegate tasks to team members via Asana and coordinate with Project and Creative Managers.
  • Evaluate project overview, budgets, timelines, scope of work, risks, design, stakeholders, and delivery expectations.
  • Monitor creative development, troubleshoot, create contingency plans, and revise schedules as necessary.
  • Participate in standup meetings and send daily updates to stakeholders and team members.
  • Route and secure approvals on all communication materials at each stage of creative development.
  • Assist with developing timelines and setting due dates for various stages of job completion.
  • QA design and/or development edits prior to routing to necessary team members.
  • Coordinate and schedule kick-off meetings with all appropriate team members.
  • Organize and archive projects, including relevant layouts, artwork, reporting, and communication details.
  • May be required to travel to business engagements and company events.
  • Work evenings and weekends as needed to meet deadlines and work under high pressure and demanding timelines.
  • Assist with other duties as assigned.

Qualifications

  • 2+ years of experience working within an interactive agency, preferably in Music Festival Marketing or a related Entertainment Industry.
  • Working knowledge of design, print, web, video, rich media, and social media platforms.
  • Proficiency in project management tools such as MS Project, Asana, JIRA, and Basecamp.
  • Excellent reporting skills.
  • Keen ability to work on a variety of projects at various stages and scopes.
  • Able to work in a fast-paced environment, juggling multiple projects.
  • Excellent communication skills: both in person and digital/online platforms.
  • Demonstrated experience managing time, cost, risk, quality, resources, assets, and changing requirements.
  • Proficiency in MAC/PC.
  • Well versed in Microsoft Office Suite and Google Docs.
  • Passion for Electronic Dance Music is a must.
