About the role

We are seeking a detail-oriented and proactive Inside Support Specialist to join our Clackamas, Oregon team. In this entry-level position, you will provide essential support to Account Executives and internal teams throughout the sales and order lifecycle. You’ll assist with customer coordination, quoting, order processing, issue resolution, and project tracking while ensuring accurate communication, timely execution, and an exceptional customer experience. This role also supports day-to-day account activities, maintains documentation, monitors order progress, and contributes to operational improvements. You’ll develop foundational knowledge of our products, processes, and customer needs while working closely with cross-functional teams. Must be able to work on-site in Clackamas, Oregon five days a week.

Responsibilities

  • Act as an entry-level point of contact between internal teams (Account Executives, engineers, management, customer service, administration) and external clients to ensure clear communication and coordination.
  • Plan, manage, coordinate, and follow up on events, customer calls, emails, and appointments on behalf of Account Executives.
  • Coordinate Account Executive calendars to prioritize customers and opportunities.
  • Participate in account planning as needed.
  • Gather customer requirements and collaborate with internal teams to create and deliver quotations.
  • Work with engineers to generate Bills of Material (BOM) as needed.
  • Proactively retrieve quotes and invoices through distributor customer portals.
  • Ensure accurate receipt of customer orders and seamless handoff to operations.
  • Manage the complete Purchase Order (PO) lifecycle, including initiating purchase requests (PRs) and overseeing order tracking through completion.
  • Assist in knowledge sharing by providing guidance, mentorship, and informal training to team members on processes, tools, and best practices.
  • Collaborate with Account Executives and Accounting to investigate and resolve credit holds, releasing them upon approval.
  • Provide complete, accurate, and timely updates on opportunities and order status.
  • Monitor order progress to ensure customer expectations for delivery are met.
  • Track orders to ensure timely delivery of software licensing and activation keys.
  • Investigate and resolve customer issues regarding product and/or service delivery; communicate status to the ISS Manager and Account Executives.
  • Oversee customer cases and act as a single point of contact for the Service Desk as directed.
  • Provide ongoing entry-level support to the ISS email alias and serve as backup for Account Executives as needed.
  • Support the organization and maintenance of the customer database and ensure project files are prepared in a timely manner.
  • Follow current policies and procedures for tracking activities in Structured’s CRM and service delivery tools.
  • Perform additional duties as assigned.

Requirements

  • High School Diploma or General Education Degree (GED) required.
  • Minimum of two (2) years of related experience and/or training, or an equivalent combination of education and experience.
  • Relevant experience in customer service and/or sales, with proven ability in client interaction, issue resolution, account support, and revenue generation.
  • Proficiency in Microsoft Office Suite and experience with a CRM tool (e.g., Salesforce).
  • Strong verbal and written communication skills in English; ability to read, analyze, and interpret quotes and reports.
  • Exceptional organizational and time management skills with keen attention to detail.
  • Ability to maintain strict confidentiality and work effectively in a fast-paced, high-pressure environment.
  • Strong interpersonal skills to foster and maintain relationships with internal teams, customers, and vendors.

Physical Demands

Pay

$21.65 - $33.27 per hour.
