Responsibilities

  • Outside Sales Support
    • Provide day-to-day support to Outside Sales Representatives throughout the sales cycle
    • Prepare quotations, sales orders, purchase orders, and related sales documentation accurately and efficiently
    • Assist Outside Sales Representatives with customer requests, project updates, and account support
    • Support bid preparation, pricing requests, and product recommendations
    • Monitor customer orders to ensure timely processing and fulfillment
  • Customer & Vendor Coordination
    • Serve as a primary liaison between Sales, Shipping, Receiving, Purchasing, Operations, vendors, and customers
    • Answer incoming phone calls and emails from customers, vendors, and sales personnel
    • Communicate order status, product availability, delivery schedules, and project updates
    • Build and maintain positive working relationships with customers, suppliers, and internal departments
    • Resolve routine customer concerns and escalate complex issues as appropriate
  • Order Processing & Documentation
    • Process customer orders, purchase orders, quotations, returns, and related documentation with a high level of accuracy
    • Maintain organized sales files, order documentation, and customer records
    • Verify pricing, quantities, product availability, and order accuracy before release
    • Assist with reporting, sales documentation, and operational tracking
    • Ensure compliance with company sales procedures and documentation standards
  • Sales Operations
    • Develop and maintain product knowledge to support customers and sales personnel
    • Assist with inventory inquiries and product availability
    • Support collection activities and accounts receivable follow-up when required
    • Identify opportunities to improve customer service, operational efficiency, order accuracy, and sales processes
    • Assist with implementation of continuous improvement initiatives throughout the sales department
  • Cross-Functional Collaboration
    • Partner with Shipping, Receiving, Warehouse, Purchasing, Customer Service, Accounting, and Operations teams to support customer satisfaction
    • Communicate effectively with internal departments regarding project requirements and customer expectations
    • Support company initiatives that improve workflow, communication, and operational performance
    • Perform additional duties and projects as assigned

  • Previous experience in inside sales support, customer service, sales administration, order processing, or related roles
  • Experience within building materials, lumber, millwork, construction supply, manufacturing, or industrial distribution preferred
  • Product knowledge of construction materials, building products, and industry terminology preferred
  • Basic understanding of inventory management, purchasing, and order fulfillment processes
  • Ability to read and interpret blueprints or willingness to learn
  • Experience using ERP, CRM, or business management software (BisTrack preferred)
  • Proficiency with Microsoft Office applications, including Outlook, Excel, and Word

Work Environment

  • Primarily office-based environment within a branch, warehouse, or distribution facility
  • Frequent interaction with customers, vendors, warehouse personnel, shipping teams, Outside Sales Representatives, and management
  • Ability to sit and work at a computer for extended periods
  • Occasional visits to warehouse, yard, or shipping areas may be required
  • Ability to occasionally lift office materials weighing up to 25 pounds
  • Flexibility to support extended hours during peak business periods as operational needs require

Pay

Salary Range USD $75,000.00 - USD $80,000.00 /Yr. This position may also offer variable compensation.
