Inside Sales Representative

About the role
The Inside Sales Representative is responsible for managing the inside sales process and driving outstanding, proactive customer service for an assigned group of accounts. This position is the primary point of customer contact within the organization, answering customer questions concerning orders, products, and Pennex services. The role involves accurately providing price and delivery information for all products in a timely and courteous manner, utilizing current organizational processes and systems.
Responsibilities
- Manage relationship through constant proactive customer contact, serving as the primary contact for all communication regarding orders, pricing, delivery, status, and credit issues.
- Utilize and direct all company resources (quality, operations, and logistics) to ensure a successful partnership.
- Act as backup to commercial or automotive counterpart when necessary.
- Engage in problem-solving with customers and internal Pennex resources when issues arise.
- Provide prompt, detailed, and actionable information related to all phases of customer service.
- Maintain up-to-date, accurate customer records, including orders, acknowledgements, contacts, reports, and entries in Epics and Microsoft Dynamics. Prior SAP experience is a plus.
- Enter customer orders into the system to meet requirement dates, consult with operations on extrusion and delivery dates, and print/send customer acknowledgements.
- Contact customers regarding order discrepancies and communicate potential delivery issues or status updates.
- Coordinate with Materials Manager, Inside Sales Manager, Extrusion Manager, Scheduler/Planner, Fabrication Manager, and Shipping Supervisor on customer orders and shipment plans.
- Check order status to ensure on-time delivery and proactively communicate any issues or delays.
- Monitor and track orders via the open order report and escalate discrepancies.
- Attend relevant plant meetings, including S&OP, Customer Complaint Notification meetings, and shipping touch points.
- Handle customer complaints, initiate the CCN process, and enter complaints into the PQM system.
- Forward complaint information to the Quality Manager, Inside Sales Manager, or Technical Manager.
- Check inventory weekly against open orders.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent; Bachelor’s degree preferred.
- 3 to 5 years of related experience in manufacturing, automotive, or commercial/business-to-business sales/account management.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Proficient time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to function well in a high-paced and occasionally stressful environment.
- Proficient with Microsoft Office Suite or related software.
- Leverages AI tools to optimize workflows and drive daily productivity.
- Must be able to pass pre-employment physical and drug screen.
- Must be eligible to work in the United States; visa sponsorships are not available.
