Inside Sales - Parts
Full-time position based in Hayward, reporting to the Director of Parts.
About the Role
The Inside Parts Salesperson provides parts lookup and ordering for end-user customers in our area. This role requires an inquisitive personality to understand customer needs and support both represented and non-represented product lines. A portion of the role includes internal parts ordering support for the Hayward service organization (24/7/365), including order tracking, factory interaction, and follow-up with the service department. Knowledge of industrial and commercial boilers, systems, and ancillary equipment is essential.
Responsibilities
- Handle incoming parts inquiries via phone or email.
- Thoroughly research part requests to ensure accurate quotes and identify upsell opportunities.
- Communicate quotes to customers, including relevant data sheets.
- Follow up on unprocessed quotes to maintain strong customer communication.
- Receive and forward purchase orders to the Parts Purchasing Administrator for processing in the Dynamics database.
- Review weekly and monthly billing reports with the Parts Purchasing Administrator as needed.
- Assist with communications regarding ETAs, purchase order discrepancies, and vendor quotes.
- Support accounting and the Parts Purchasing Administrator with collections for overdue items (over 90 days).
- Perform other related duties as assigned to maximize sales efforts and improve customer service.
Requirements

- Valid driver’s license with no major infractions; occasional travel required.
Qualifications
- Bachelor’s Degree in a technical discipline or equivalent experience.
- Order desk experience, including phone orders.
- Familiarity with industrial controls and products; experience with pipefittings and electrical fittings is a plus.
- Technical aptitude, time management, and strong telephone/communication skills.
- Ability to manage schedules, budgets, and progress reporting for quoted service work.
- Strong customer service orientation and proactive problem-solving approach.
- Willingness to learn, adapt, and expand role responsibilities.
- Computer proficiency in Field Centrix, MS Dynamics, MS Word, MS Excel, MS Outlook, and factory equipment selection/pricing programs.
- Experience with Visio and/or AutoCAD is a plus.

Work Environment
This role operates in a professional office environment, routinely using standard office equipment such as computers, phones, photocopiers, and filing cabinets. The position is largely deskbound but may require filing, lifting, bending, climbing stairs, and preparing meeting spaces.
Pay
$32.00 - $48.00 per hour.
