Inside Sales Coordinator
About the role
The Inside Sales Coordinator will be responsible for the customer purchase orders/contracts and billing. Maintaining a knowledge of processes and price proposals to track all customer requests while working with the appropriate departments to meet a successful resolution for our customers. Our ideal candidate has exceptional organizational skills and a deep knowledge of customer service best practices.
Responsibilities & Performance Measures
- Enter and track customer orders into the database(s) and update reports accordingly
- Create and update customer profiles and representations and certifications (reps & certs), obtaining & processing credit applications and maintaining back-up files.
- Review, complete and obtain signatures on Non-Disclosure Agreements (NDAs)
- Interface with customers regarding approval to move forward with production, customer Supplied Material (CSM) if applicable, the status of their orders, to obtain their shipping preferences and/or relay the tracking information for their product after it is ready for shipment. Then update the database(s) accordingly.
- Provide updates to customers on custom & pre-engineered production jobs
- Preparation and maintenance of electronic filing systems for data, drawings and pricing for pre-engineered and custom lens assemblies.
- Manage the review and compliance of US Government representations and certifications (reps & certs), to include SAM Registration and Certification.
- Manage stock code set up, specs, pricing, export classification, lead time, warehouse and revision level validation.
- Complete due diligence on all new international inquiries/customers for ITAR/EAR compliance, complete export compliance documentation
- Cook up availability, execute and monitor company loaner equipment opportunities with customers including maintaining a running list of loaned equipment and repeat borrowers for the sales team’s visibility.
- Manage communication with support from Quality department on returns, corrective actions, warranty & service rework, customer updates and quotes for non-covered services.
- Work closely with the Controller to standardize database data entry fields, improve inputs and ensure accurate information is entered.
Qualifications & Skills
- Bachelor’s degree in business, science, engineering or equivalent education gained through work experience.
- 2-3 years of related Sales or Customer Service experience.
- Microsoft Office experience required.
- Experience in operating in a customer facing role with good organizational skills.
- Knowledge of ITAR/EAR Regulations is a plus.
