We are looking for a self-motivated and dedicated individual to be part of our teams as a Sales Administrator. Job Description The Sales Administrator serves as a key liaison between the Sales team, internal departments, suppliers, and other business partners throughout the equipment order and delivery process. This position is responsible for maintaining accurate order and asset information, coordinating administrative requirements, monitoring equipment through production and delivery, and supporting the timely and accurate completion of sales transactions. Responsibilities Include, But Are Not Limited To Order Processing & Administration: Review and process new equipment orders, verify order details and specifications, confirm shipping and delivery information, and maintain accurate order records throughout the equipment lifecycle.Vendor & Manufacturer Coordination: Maintain regular communication with suppliers and manufacturers regarding order acknowledgments, equipment invoices, production schedules, chassis status, specification inquiries, delays, and other order-related matters.Chassis & Equipment Coordination: Monitor chassis and equipment status, assist with specification and configuration inquiries, identify discrepancies or challenges, and coordinate with appropriate parties to facilitate resolution.CRM & Asset Management: Maintain accurate and timely equipment, order, opportunity, and asset information within company systems. Perform routine audits and data cleanup to identify and correct incomplete, inaccurate, overdue, or improperly assigned records.Production & Order Tracking: Monitor open equipment orders and production schedules, communicate status changes and potential delays, maintain reporting on overdue or aging orders, and participate in recurring order-status reviews.Equipment Invoicing & Accounts Payable Support: Coordinate equipment invoicing activities, submit supplier equipment invoices for payment processing, verify supporting information, and work with the accounting team to resolve discrepancies or obtain required documentation.Sales Transaction Support: Assist with the administrative completion of equipment sales, including invoicing requests, delivery documentation, reporting, and coordination with Sales and Accounting.Title & Registration Support: Provide administrative support for title and registration activities, including verification of equipment information and preparation of temporary registration documentation when required.Interdepartmental Coordination: Serve as a point of coordination between Sales and other internal departments, including Accounting, Parts, Service, and Operations, to facilitate equipment-related requests and resolve issues affecting customer orders or deliveries.Logistics & Delivery Coordination: Support sales-related transportation and logistics requests, verify ship-to and delivery information, and assist with coordination necessary to move equipment between suppliers, company locations, and customer destinations.Reporting & Data Accuracy: Prepare, maintain, and review recurring sales and operational reports related to equipment deliveries, open orders, production status, asset assignments, and other key order-management activities.Issue Resolution: Proactively identify discrepancies involving orders, specifications, invoicing, asset assignments, chassis, documentation, or delivery information and coordinate with the appropriate internal or external parties to facilitate resolution.Sales Team Support: Provide timely and responsive administrative support to the Sales team throughout the order-to-delivery process and assist with additional sales-related operational requests as needed. There is no selling for sales calls required with this position. Hours- Monday through Friday 8am-5pm This is an on-site position. Requirements Previous experience in sales administration, sales coordination, order management, or a related administrative role preferred.Strong organizational skills with exceptional attention to detail and accuracy.Ability to manage multiple priorities, deadlines, and ongoing tasks in a fast-paced environment.Strong problem-solving skills with the ability to identify discrepancies, research issues, and coordinate appropriate resolutions.Excellent verbal and written communication skills with the ability to communicate effectively across departments and with external vendors and business partners.Proficiency with Microsoft Office applications, including Outlook, Excel, and Word.Experience with Salesforce, Microsoft Dynamics, or similar CRM/ERP systems preferred.Ability to accurately maintain and review order, equipment, customer, and transactional data across multiple business systems.Strong sense of ownership and follow-through, with the ability to independently manage assigned responsibilities through completion.Collaborative and team-oriented approach with the ability to work effectively with Sales, Accounting, Service, Parts, Operations, and other departments.Ability to learn equipment terminology, specifications, ordering processes, and internal business procedures.Adaptable and willing to learn new systems, processes, and responsibilities as business needs evolve.Associate or bachelor's degree in business administration, Sales, Marketing, or a related field preferred; equivalent relevant experience will also be considered.
