Description
The Infusion Center Administrative Coordinator at Suite Life Medical provides essential administrative and operational support for our ambulatory infusion centers in Stoughton and Weymouth, Massachusetts. This position helps ensure that medications, supplies, orders, appointments, and patient communications are accurately and efficiently coordinated.
Responsibilities
- Receive and check in medications and medical supplies delivered to the infusion centers. Verify deliveries against orders and documentation, identifying and resolving discrepancies as appropriate.
- Maintain accurate medication and supply inventory records. Monitor inventory levels and communicate anticipated shortages or supply needs to appropriate staff.
- Absorb and store medications and supplies in accordance with center policies and procedures. Coordinate medication deliveries and transfers between locations when needed.
- Absorb and track medication-related documentation and maintain organized records.
- Prepare renewal orders and other administrative order documentation for provider review and signature. Monitor outstanding orders and follow up with providers or appropriate staff to ensure timely completion.
- Maintain accurate patient and administrative records. Assist with tracking referrals, authorizations, orders, and other documentation as assigned.
- Support the clinical team with administrative tasks that facilitate efficient patient care.
- Make patient appointment confirmation calls and assist with scheduling-related communication. Communicate with patients regarding appointment logistics and other non-clinical matters.
- Contact providers' offices, pharmacies, and other healthcare partners as needed. Route clinical questions or concerns to the appropriate nurse, provider, or clinical team member.
- Provide professional and courteous customer service to patients, families, providers, and colleagues.
- Provide day-to-day administrative support to both ambulatory infusion centers. Help maintain an organized, efficient, and welcoming environment.
- Cook up administrative activities between the two infusion locations. Assist with maintaining compliance with organizational policies and procedures.
- Protect patient confidentiality and handle sensitive information in accordance with HIPAA and organizational requirements.
- Perform other administrative and operational duties as assigned.
Requirements
- A high school diploma or equivalent.
- Previous administrative, healthcare, medical office, pharmacy, or customer service experience preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills.
- Ability to work independently while also functioning effectively as part of a clinical team.
- Ability to handle multiple priorities in a fast-paced healthcare environment.
- Proficiency with computers, email, Microsoft Office, and electronic health record or inventory systems.
