About the role

The Information Governance – Matter Mobility Coordinator supports high-volume attorney transitions and client matter movement within a structured, fast-paced information governance environment. Responsibilities

  • Coverage of client matter onboarding and off-boarding processes, including secure transfer of electronic and physical records
  • Cohesion with internal IT and records teams, and compliance with firm policies and confidentiality standards
  • Serving as a key liaison between departing/joining attorneys, prior firms, and internal operations teams
  • Overseeing secure transfer of electronic files, supporting organization, indexing, validation, and tracking of physical and electronic records
  • Ensuring compliance with confidentiality requirements and records retention policies throughout all transfer activities
  • Maintaining detailed logs, reporting documentation, and tracking systems related to matter mobility processes
  • Reviewing transfer requests for completeness, accuracy, and policy compliance prior to execution
  • Coordination of communications across legal teams, practice groups, and external stakeholders
  • Supporting physical records preparation, shipment, and secure disposition processes
  • Identifying opportunities to improve workflows, efficiency, and reporting within matter mobility operations
  • Providing guidance and training to internal teams on onboarding/offboarding procedures

Qualifications

  • Bachelor’s degree preferred or equivalent combination of education and experience
  • 5+ years of experience in information governance, records management, or similar field (legal or medical records preferred)
  • 2+ years of direct experience in matter mobility or attorney transition support
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Smartsheet
  • Solid understanding of data structures, databases, and information tracking systems
  • Strong written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a deadline-driven environment
  • Strong critical thinking and problem-solving skills
  • Ability to work both independently and collaboratively across teams
  • High level of professionalism and discretion when handling confidential information
  • Customer service mindset with strong interpersonal skills
