HVAC Parts Sales Coordinator

About the role

The Parts Inside Sales position plays a critical role in supporting customer satisfaction and sales growth within the parts division of Masters Building Solutions. This position is responsible for developing and maintaining customer relationships, responding to parts inquiries, preparing accurate quotes, and helping customers identify the appropriate products and solutions for their needs. Working closely with customers, purchasing, operations, warehouse, and other internal teams, the Parts Inside Sales professional helps ensure accurate order processing, product availability, and timely delivery. This role requires strong communication skills, attention to detail, resourcefulness, and the ability to understand and communicate technical product information. The ideal candidate will have experience in parts sales, inside sales, customer service, or a related technical environment, with HVAC or mechanical product experience strongly preferred.

Responsibilities

• Develop and maintain strong relationships with new and existing customers
  • Respond promptly and professionally to customer inquiries regarding:
    • Parts and products
    • Product features and applications
    • Availability and pricing
    • Order status and delivery expectations
  • Understand customer needs and recommend appropriate parts, products, and solutions
  • Provide knowledgeable and responsive customer service throughout the sales and order process
• Manage incoming sales inquiries and provide timely, accurate quotes
  • Prepare and provide:
    • Sales quotes
    • Pricing information
    • Credit terms
    • Bid specifications
  • Apply product and industry knowledge to identify appropriate solutions for customer requirements
  • Identify opportunities to support sales growth through customer service, product knowledge, and consultative selling
  • Follow up on quotes and customer opportunities as appropriate
• Coordinate with purchasing, operations, warehouse, and other internal teams to ensure accurate order processing
  • Verify product availability and communicate realistic delivery expectations to customers
  • Monitor orders and provide customers with timely updates regarding availability, fulfillment, and delivery
  • Help resolve order, product, or delivery issues in a timely and professional manner
  • Maintain accurate customer, quote, and order information within company systems
• Develop and maintain knowledge of HVAC parts, equipment, and related products
  • Stay current on relevant products, applications, manufacturer updates, and industry trends
  • Use technical and product knowledge to help customers select appropriate solutions
  • Communicate product information clearly to both technical and non-technical customers
• Maintain accurate records of:
  • Customer interactions
  • Sales activities
  • Quotes and proposals
  • Orders and order status
  • Product and inventory information
  • Ensure information is entered accurately and maintained in company systems
