About the role

Easterseals Massachusetts is a nonprofit organization dedicated to ensuring that children and adults with disabilities have equal opportunities to live, learn, work, and play. As a Human Resource Specialist, you will provide comprehensive HR support to both internal teams and our external ESmart clients.

Key Responsibilities

  • Serve as a primary HR contact for ESmart clients, providing guidance on employment, employee relations, benefits, and payroll matters.
  • Support onboarding and offboarding processes, driving efficiency and consistency.
  • Facilitate new hire orientation and deliver training presentations.
  • Aid in employee relations matters and accommodation requests.
  • Manage the Leave of Absence program, including employee inquiries and compliance with regulatory requirements.
  • Respond to communications from state agencies and third-party vendors.
  • Maintain compliance with employment laws, HIPAA, COBRA, and internal policies.
  • Track and manage compliance-related mailings, notifications, and required reporting.
  • Oversee payroll administration for assigned clients, ensuring accuracy and compliance.
  • Identify and resolve payroll discrepancies and communicate corrections.
  • Assist with the coordination of benefit plans, invoicing, and compliance-related communications.
  • Provide backup support for senior payroll operations as needed.
  • Review resumes and conduct phone screenings to support hiring needs.
  • Assist with job postings and interview scheduling for ESMA and ESmart clients.
  • Support development and assignment of required compliance training.
  • Maintain and track HR policies and procedures to ensure timely updates.
  • Aid in updating HR guides, benefits summaries, and related documentation.
  • Contribute to compliance and risk management program initiatives.
  • Assist in performance management processes and surveys.
  • Participate in team-building activities and company events.
  • Engage in special projects and continuous improvement initiatives.
  • Travel to ESMA and client locations as needed.

Required Qualifications & Required Skills

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 5 years of experience across multiple HR functions.
  • Strong interpersonal, communication, and time management skills.
  • Proficiency with Microsoft Office tools, including Teams.
  • PREFERRED: Experience in an HR Generalist or similar role.
  • Knowledge of federal and Massachusetts employment laws.
  • Payroll experience strongly preferred.
  • Familiarity with ADP, Paychex, Harpers, or other HRIS systems.
  • Experience in nonprofit or multi-entity environments is a plus.
