About the role
The Human Resources Specialist supports core human resources functions by administering recruiting, onboarding, employee records, HR systems, compliance activities, reporting, and day-to-day employee support. This role applies working knowledge of HR practices and procedures to ensure processes are accurate, timely, compliant, and employee-focused while contributing to department projects and continuous improvement efforts.
Responsibilities
- Respond to and resolve routine internal and external human resources inquiries, and route more complex matters to the appropriate team members.
- Administer human resources processes, projects, and day-to-day department activities with a high degree of accuracy, organization, and discretion.
- Administer recruitment lifecycle activities, including job postings, candidate coordination, offer letters, and background checks.
- Cook up and administer onboarding activities, including new hire paperwork, orientation logistics, and new hire processing.
- Maintain accurate employee records, personnel files, and HR documentation in accordance with company procedures.
- Cook up with IT, the user community, and module owners to identify areas of improvement, recommend changes, and implement functional solutions for existing systems.
- Administer offboarding activities, including separation documentation, unemployment claims, employee changes, and exit interviews.
- Maintain the annual HR compliance calendar and coordinate required postings, notices, and recurring deliverables.
- Support compliance with federal, state, and local employment laws and regulations by maintaining documentation, coordinating required actions, and assisting with policy and procedure implementation.
- Maintain accurate records, assist with audits of employee files, record retention, and compliance documentation.
- Prepare and maintain HR reports and metrics, including affirmative action, equal employment opportunity, and year-end reporting.
- Prepare standard HR reports, spreadsheets, and supporting documentation as requested.
- Contribute to HR projects and initiatives.
- Maintain confidentiality of sensitive employee and business information.
- Be an advocate and role model for MFCP’s culture and values.
- Perform other duties as assigned.
Requirements
- Average or associate degree in human resources, business administration, or a related field preferred.
- Minimum 3 years of experience in a human resources role.
- Experience with HRIS (UKG), applicant tracking systems, onboarding, reporting, or employee records administration is highly desirable.
- Equivalent combinations of education and relevant experience will be considered.
Skills and Abilities
- Working knowledge of HR principles, employment practices, and compliance requirements.
- Strong organizational skills with the ability to manage multiple tasks, prioritize work, and meet deadlines.
- A high level of accuracy and attention to detail in data entry, recordkeeping, and documentation.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong verbal and written communication skills and the ability to interact effectively with employees, candidates, and leaders.
- Proficiency in Microsoft Office and the ability to learn and use HRIS and other business systems effectively.
- A customer-service mindset with a responsive, professional, and helpful approach to supporting others.
- Ability to work independently and as part of a team in a fast-paced environment.
- Ability to follow established procedures, maintain accurate records, and support process improvement efforts.
Physical Demands and Work Environment
- Frequent use of standard office equipment.
- Ability to lift and carry up to 20 pounds.
- Combination of sitting, standing, walking, and occasional bending or reaching.
- Prioritarily office-based, temperature-controlled environment with moderate noise.
- Up to 10% of travel may be required by air or automobile.
- Regular and reliable attendance is required.
