This role serves as the primary point of contact for colleagues and people leaders, delivering responsive, consistent, and efficient HR support through a centralized service delivery model. The HR Shared Services Partner resolves routine HR inquiries, coordinates colleague lifecycle activities, processes HR transactions, and ensures a high-quality colleague experience. This position enables HR Business Partners to focus on strategic and employee relations activities by managing high-volume employee support needs and exercising sound judgment in resolving inquiries independently.
Responsibilities
- Colleague & Manager Support
- Serve as the first point of contact for employee and manager HR inquiries.
- Respond to questions related to HR policies, benefits, pay, PTO, employment verification, organizational changes, and HR programs.
- Provide accurate, timely, and customer-focused support while ensuring compliance with company policies and procedures.
- Identify, triage, and escalate complex issues to the appropriate HR Business Partner or HR Generalist.
- HR Intake & Case Management
- Manage centralized HR inbox, ServiceNow queues, and other intake channels.
- Receive, prioritize, and route colleague and people leader requests.
- Maintain case documentation and ensure timely resolution of requests.
- Monitor service levels and follow established escalation procedures.
- Track inquiry trends and identify opportunities for service improvement.
- Colleague Lifecycle Coordination
- Onboarding
- Coordinate new hire administrative activities and required documentation.
- Initiate and track onboarding workflows.
- Support new hire communications and orientation logistics.
- Ensure employee records and system requests are completed accurately and on time.
- Partner with hiring managers and internal support teams to ensure a seamless onboarding experience.
- Colleague Changes
- Coordinate employee status changes, transfers, promotions, reporting relationship updates, and organizational changes.
- Ensure required approvals and supporting documentation are obtained and processed.
- Maintain employee records and organizational data integrity.
- Offboarding
- Coordinate offboarding workflows and required documentation.
- Process termination and separation transactions.
- Ensure required payroll, system, and organizational updates are completed.
- Partner with Payroll, IT, Security, and other stakeholders to monitor completion of offboarding activities and escalate issues as needed.
- Onboarding
- HR Transaction Processing
- Complete HRIS updates and workflow requests.
- Support payroll-related inquiries and transaction processing.
- Coordinate employment verification requests, letters, and standard HR documentation.
- Process employee transactions including new hires, transfers, promotions, reporting relationship changes, organizational updates, personal data changes, compensation actions, and separations in accordance with established procedures.
- Prepare, review, and maintain employment-related documentation while ensuring completeness, accuracy, and compliance with company standards.
- Coordinate with Payroll, Benefits, HR Technology, and other internal partners to resolve transaction issues and ensure timely processing.
- Data Quality & Operational Support
- Ensure colleague data accuracy and completeness.
- Assist with organizational maintenance and workforce data updates.
- Contribute to process documentation and operational improvements.
- Maintain electronic personnel files and supporting documentation in accordance with record retention requirements.
- Perform regular audits of employee records and HR transactions to identify discrepancies and ensure data integrity.
- Generate and distribute standard HR reports and support ad hoc reporting requests as needed.
- Ensure compliance with company policies, data privacy requirements, and applicable employment regulations.
- Continuous Improvement
- Identify recurring colleague questions and service trends.
- Support the development of FAQs, knowledge articles, and self-service resources.
- Recommend process improvements that enhance efficiency and colleague experience.
- Participate in initiatives that improve service delivery and operational effectiveness.

- Deliver exceptional customer service through timely, professional, and solution-oriented support.
- Build trust by providing consistent guidance and setting clear expectations regarding HR processes and timelines.
- Maintain confidentiality while handling sensitive employee information.

Qualifications
- Experience
- 2 years of HR, employee service, customer service, shared services, or related experience.
- Experience working with HR systems and case management tools preferred.
- Strong customer service, communication, and problem-solving skills.
- Experience in an HR Shared Services or HR Operations environment preferred.
- Knowledge of employee lifecycle processes and HR policies preferred.
- Education
- Associate’s or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- Certificates, Licenses, Registrations
- PHR, SHRM-CP, or equivalent HR certification preferred.
- Computer Skills
- Experience with ServiceNow, ADP, Oracle HCM, or similar HR technology platforms preferred.
