Responsibilities

  • Supervises the HR Coordinators.
    • Encourages cross training in these positions and those supervised by the Territorial Executive Director and Asst. Director.
    • Gives oversight to HR Coordinator’s on processing THQ bi-weekly payroll.
    • Communicates with the appropriate Department Manager’s (DM) to ensure wage and hour compliance; recommend changes, facilitate training etc., as needed.
    • Oversees UKG timesheets, sick leave, vacation benefits, Christmas bonuses and walking incentives, etc., are calculated as well as voluntary deduction procedures for dependent health insurance, tax deferred annuity contributions, life insurance short-term disability insurance, and any other authorized deduction.
    • Requests that the Payroll Manager prepare special checks when needed.
    • Reviews garnishment and lien actions on employees as needed.
    • Collaborates with vendors to proactively anticipate and resolve internal issues.
    • Maintains familiarity with current job openings, necessary qualifications, pay ranges, and any online advertisement to handle phone calls/visits from applicants/supervisors.
    • Administers our obligations to the South Coast Air Quality Management District, including required surveys, training, research on compliance issues and program options, and payments.
    • Maintain current on all benefit and promotional materials and handles related questions, complaints etc. from THQ/CFOT staff members.
    • Oversees the Annual Focal Point Review process to include 90-day new hire / 90-day new in position evaluations.
    • Partners with THR Director’s on all questionable evaluation ratings, comments etc.
    • Conducts exit interviews with staff members voluntarily resigning positions and acts on information shared, as needed.
    • Works closely with Commissioners Executive Assistant and THR staff members to coordinate plans for Employee Recognition Day as well as other functions suggested by Campus staff.
    • Approves the arrangement of meetings for employees on the Tax Deferred Annuity (TDA) Program with the various authorized 403(b) providers.
    • Ensures annual / bi-annual training compliance is complete for Anti-Sexual Harassment and any other required trainings.
    • Manages and monitors Workers’ Compensation injuries; track injuries from initial report to closure; work closely with THQ Risk Management (RM) to ensure timely coordination and share safety complaints/suggestions to RM, THR and DM as needed.
    • Manages and monitors, tracks, manage all leaves of absence (LOA’s) and/or extended absences (3+days) due to illness; review requests for absence via interactive discussions i.e. ADA, determine if LOA, modified duty etc. is applicable or available, track LOA’s (ongoing and intermittent) collect date, communicate with employee and supervisor, ongoing. Ensure receipt of timely documentation.

    • Manage and monitor selection and yearly training of various staff in First Aid and CPR.
    • Approves assignment of first aid coordinators, and updates lists as needed.
    • Manage and monitor, track, manage all leaves of absence (LOA’s) and/or extended absences (3+days) due to illness; review requests for absence via interactive discussions i.e. ADA, determine if LOA, modified duty etc. is applicable or available, track LOA’s (ongoing and intermittent) collect date, communicate with employee and supervisor, ongoing. Ensure receipt of timely documentation.
